The Administration Officer, will primarily reconcile and align third-party work orders originating from the Digital Care Platform (DCP) to corresponding purchase orders and invoices in the financial system, ensuring accurate classification against Support at Home service lines and budget codes.
This involves managing the end-to-end purchase order and invoice lifecycle, including raising, receipting, three-way matching, and resolving exceptions in a timely manner. A key aspect of the role is liaising with care partners, vendors, and internal stakeholders to confirm service authorisations, resolve transactional discrepancies, and maintain the integrity of procurement data across DCP and D365 financial operations (FinOps).
Alongside the transactional processing responsibilities, the role contributes to identifying and addressing data quality gaps between DCP and FinOps, providing frontline insights to improve system alignment, mapping accuracy, and reporting reliability. The position requires the maintenance of organised transaction records, a high degree of confidentiality and professionalism, and quality customer service, all delivered within the framework of St Vincent's Mission, Vision, Values, and Code of Conduct.
Based in our Brisbane Group Office this exciting new opportunity is a Full-Time Fixed Term contract until 31 October 2026 and is now available for immediate start.
Things that work for us:

- Knowledge of In home Aged Care advantageous
- Several years’ experience in an administration role ideally within Volunteering, Recruitment, HR or not-for-profit areas
- Pre-employment processing experience – national criminal history checks, collating identification, working rights, reference checks, vaccination requirements, qualifications, NDIS checks and so on
- Engaging and effective teamwork skills which enable you to build great working relationships, achieve great outcomes and add value as an effective member of our fabulous team

- Exceptional written and verbal communication skills, very confident using all Microsoft programs, Teams, Outlook, pre-employment portals, knowing your way around recruitment systems and the importance of why using standardised templates and communications is key to quality and consistent service
