Role
Administration Associate – Maersk Côte d’Ivoire (Abidjan). This teammate provides thoughtful, reliable administrative support that keeps people, places, and processes running smoothly. They coordinate travel and visitors, steward office and facility needs, support internal communications and events, and partner closely with vendors and colleagues to deliver a welcoming, efficient workplace.

In this role, the Associate will build hands‑on expertise with Maersk systems, learn from cross‑functional partners (HR, CX, Sales, Finance, AR etc.), and deepen supplier relationship skills while supporting a high‑trust, inclusive culture.

Key responsibilities

  • Coordinate employee travel and accommodation end‑to‑end: flight requests, hotel bookings, local transport, visitor hosting, visa assistance, and issuance of administrative documents (mission orders, travel insurance).
  • Manage office supplies and services: stationery and printing, cleaning and pantry consumables, event support logistics, and purchase orders/cash requests.
  • Oversee facilities across head office and other sites: routine inspections, repairs and troubleshooting, preventive maintenance, and cleanliness of workspaces, green areas, restrooms, and common zones.
  • Prepare clear internal communications and announcements; collaborate with teams to share project milestones, initiatives, and achievements.
  • Support fleet management with vendors: vehicle sourcing, scheduled maintenance and repairs, timely replacements, and daily coordination with drivers.
  • Assist expat onboarding: administrative support for residence permits and housing search.
  • Plan and deliver events (seminars, team buildings, town halls): timeline and coordination, vendor logistics, internal comms, and post‑event follow‑up.
  • Partner on vendor and contract management: supplier selection and onboarding, contract negotiation/administration, and performance evaluation.

Qualifications & skills

  • Foundational proficiency with Microsoft Excel, Word, Outlook, and PowerPoint; comfortable with intranet tools and telephone systems.
  • Strong organization and follow‑through; able to manage multiple requests and meet deadlines under pressure while staying attentive and kind.
  • Clear written and verbal communication; prepares user‑friendly reports and concise updates.
  • Sound analytical thinking and respect for procedures; knows when to seek guidance and when to take initiative.
  • Team‑first mindset, flexibility, and situational leadership when coordinating activities and vendors.
  • Growth orientation: learns Maersk systems quickly, builds trust with suppliers, and can support Accounts Payable when needed; appreciates how HR, CX, Sales, Finance, and AR connect to the customer experience.
