Position Title: Administration Assistant 
Location: Spring Hill, QLD – Divisional Headquarters 
Status: Full Time | Permanent 
Classification: Clerks – Private Sector Level 3 
Working Hours: 38 hours per week | Monday to Friday, 8:30 am – 4:36 pm

About the Role 

We are seeking a proactive and organised Administration Assistant to join our team at the Queensland Divisional Headquarters in Spring Hill. 

In this role, you will work collaboratively as part of a supportive team to provide a wide range of administrative services to the Division, including Area Officers, Corps Officers, and Divisional staff. Your contribution will play a vital role in ensuring smooth day-to-day operations and effective communication across the Division. 

 

How You Will Make an Impact 

General Administration: 

  • Enter and maintain data across various databases. 

  • Generate reports and provide accurate information as required. 

  • Maintain up-to-date and well-organised filing systems; archive files as needed. 

  • Serve as a point of contact for Area Officer administrative queries. 

Communication and Coordination: 

  • In consultation with the Administration Team Leader, assist in preparing and distributing Divisional communications, including newsletters, website content, and event calendars. 

  • Screen incoming calls and greet visitors, ensuring all enquiries are handled professionally and directed appropriately. 

  • Sort, process, and distribute incoming and outgoing mail, flagging any urgent items for immediate attention. 

 

What You Will Bring 

  • Demonstrated administration experience, with sound knowledge and practical skills relevant to the role. 

  • Certificate III in Business Administration or equivalent qualification (desirable). 

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint). 

  • Strong organisational and communication skills with an eye for detail. 

  • A current driver’s licence is preferred.
