As a member of the Capability Culture and Inclusion CCI team, you will support the team and work closely with the team coordinator on the ‘Higher Education Learning Academy’ project and associated activities.
About the Role
We’re seeking an Administration Assistant to support Macquarie University’s the Higher Education Learning Academy project managed by the Capability Culture and Inclusion CCI team. The Capability Culture and Inclusion CCI team is part of the central HR function. You will be part of a team of ten people.
In this role you will support the team coordinator in administrative tasks such as data collection, coordinating events, managing communication, printing and updating systems where required.
Key Responsibilities
Working closely with the team coordinator, the role provides operational support by managing day‑to‑day office administration, coordinating schedules and meetings, handling correspondence, and maintaining accurate records and documentation.
An administrative assistant also ensures confidentiality, follows organisational procedures and responds to competing priorities.
What will you do?
Provide administration support to the team, including photocopying, diary management, formatting.
Assist with data collation and analysis relating to CCI programs and initiatives to inform planning and recommendations, as well as with the preparation of reports and presentations.
Assist with organising Capability, Culture and Inclusion (CCI) training and events, and collating training materials.
Monitor the CCI team inbox and triaging to the relevant team member.
Monitor, maintain and update system information relating to staff development programs.
Contribute to improving CCI’s administrative processes and procedures to increase efficiency and improve service delivery to clients.
Liaise with internal stakeholders and external providers for the organisation development programs.
Provide project administration support as required.
Comply with relevant EEO and WHS regulations.
Perform any other duties as required and as appropriate for the classification of this position.
Essential Criteria
Interest in an administrative or office support role
Good organisational and time‑management skills with the ability to manage competing priorities
Good attention to detail and accuracy in documentation and record‑keeping
Proficiency in Microsoft Office / M365 tools (e.g. Outlook, Word, Excel, Teams)
Ability to handle confidential information with discretion and professionalism
Ability to work independently as well as collaboratively within a team
Strong written communication skills (able to produce clear notes, emails, and basic documentation).
Ability to manage tasks, meet deadlines, and keep accurate records.
Able to work independently and as part of a collaborative team.
Work may be available for up to 20 hours per week depending on business needs
