Salary offers are based on the candidate's equivalent experience and internal equity with other employees within the same job classification. This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

About the Position

As the Acquisition Management Assistant, you will play a key role in supporting the Acquisitions Division (ACQ) and report directly to the Right of Way (ROW) Supervisor. In this role, you will serve as an essential partner in coordinating and streamlining division processes that support property acquisition efforts for both the Department of Transportation (DOT) and the Flood Control District (FCD).

You will work alongside a dedicated team of Right-of-Way professionals to help ensure projects move forward efficiently and in accordance with established procedures. Through organization, communication, and process coordination, you will contribute to the successful delivery of infrastructure projects that benefit communities across Maricopa County.

We Require

  • Two years of experience providing real estate clerical/administrative support for public agency or utility company acquisition and disposition programs, property management programs, and/or title examination/escrow transactions, or a related field
  • Associate's degree in Real Estate, Business Administration, or a closely related field
  • An equivalent combination of relevant post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis

Other Requirements

Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire

  • Bachelor’s degree in real estate, business administration or a closely related field.
  • Three years of work experience in any of the following: public sector acquisition or disposition of real estate and real property rights, title and escrow services, and/or real property appraising/assessing
  • Experience providing administrative support to management and project teams
  • Strong organizational skills with the ability to manage multiple priorities, maintain confidentiality, and meet deadlines in a fast-paced environment.
  • Highly proficient with Microsoft Word and Excel

Job Contributions

  • Communicate effectively both verbally and in writing, work independently, and in team/group settings
  • Coordinate, manage, review, prepare, and upload the Board of Supervisor Agenda and submit agenda items and electronic documents for supervisor review and approval
  • Monitors status/tracking of Board meeting dates and Board agenda items, project timelines, deadlines, and other expirations, such as escrow closing and vendor assignments
  • Lead in document migration to OnBase repository, Land Management System, records retention, indexing, research, and continued data management of County electronic real estate documents
  • Produce and Process (log, enter, route, deliver) documents of routine nature, such as purchase agreements, conveying documents, rights of entry, easements, deeds, license/leases, etc.
  • Attend and take meeting notes for all meetings assigned, report writing, and research methods
  • Assess and prioritize multiple tasks, and assist the right-of-way staff with various demands
  • Assist in or perform ownership and title research
  • Participates in the ordering of title and appraisal reports. Monitors the status of title and appraisal due dates and the close of escrow dates
  • Maintain positive working relationships with other employees, agencies, clients, customers, and the public

  • The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions
  • Must be able to lift up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time
