We are looking for an AR Administrator to join our Accounts Receivable team within Financial Management in Norwich. You'll play a vital role in reporting and maintaining financial controls. You'll produce insightful reports, ensuring accuracy and compliance with regulations. You’ll engage with structured learning and training to support your ongoing development. But it doesn't stop there. You'll also collaborate with finance and surveyors, building strong relationships and resolving any issues that arise. Your work will be critical to creating an industry-leading Accounts Receivable team, positioning us as a 'Centre of Excellence'.
 

What this job involves: Income Management

  • Ensure accurate and timely billing of rental income, service charge, insurance and tenant / landlord direct recoveries.
  • Oversee the process for turnover rent from obtaining certificates through to preparation of turnover calculations and charge raising.
  • Manage accounting for other income, (incl car park, commercialisation, and interest on late payment) and maintain income reconciliations.
  • Process tenant refunds as instructed by internal stakeholders.

Expenditure Management

  •  Process urgent supplier payments in accordance with the directives of internal stakeholders.
  • Ensure prompt payment to head landlords, as contractually required per the head lease agreements.
  • Maintain accounting records for expenditure recoverable from tenants and landlords.

Reporting

  • Support wider teams by distributing regular internal reports.
  • Complete banking summaries for clients within agreed timeframes.
  • Assist with the completion of statutory & regulatory reporting to HMRC & Royal Institution of Chartered Surveyors.
     

 Engagement with Stakeholders & Wider Teams

  • Work with the wider Accounts Receivable team to ensure workload is effectively managed.
  • Liaise with and support Surveyors, JBS (JLL Business Services) finance teams and other stakeholders on the portfolio, acting on requests and providing information in a timely manner. • Supporting of day-to-day queries from clients & occupiers.
  • Ensure strong communication links and working relationships are established and maintained with Accounts Receivable management, as well as Property Accounting, Treasury & Control, Surveying, and other internal stakeholders.

Skills and experience required for this job:

Essential

  • Good Excel skills (including working knowledge of pivot tables, V-Lookups, X-Lookups and other similar formulae).
  • Working knowledge of MS Office (including Word, Power Point, Outlook, Teams etc.)
  • Good interpersonal and communication skills, and ability to work as part of a team.
  • Must be flexible and able to work under pressure, multi-task and effectively prioritise.
  • Organised, with attention to detail and able to work to tight deadlines.
  • Able to use own initiative to resolve day to day issues.
  • Minimum GCSE level education or equivalent with at least C in Maths and English.
  • Knowledge or experience of basic accounting/book-keeping.

Desired

  • Knowledge of Client Systems (Yardi/MRI/Horizon) would be advantageous.
  • AAT Level 2 qualified or equivalent, with aspirations for further studies.
