RESPONSIBILITIES (Specific areas of responsibility include but are not limited to):

Supervises the accurate and timely processing and payment for all invoices, invoice requests, intercompany transactions, purse payouts, wire payments and expense reports. Manages team workload and resources to ensure A/P deadlines are met. 

Ensures that all purchase credit card transactions are recorded on a timely basis. Help train new corporate credit card holders on how to complete expense reports. 

Ensures that A/P inquiries are researched, resolved, and answered on a timely basis; assists team members with escalated issues.

Manages weekly payment process (i.e., settlement runs), including the review of payments batches for accuracy and completeness.

Oversees the A/P ticketing system to ensure all tickets are resolved within the department’s guidelines.

Manages monthly closing of Supplier Accounts in Workday.

Performs weekly review analysis of aging and follows up on past due invoices; ensures timely (i.e. monthly) reconciliations of all A/P balances to the general ledger including wires.

Serves as a liaison to PGA operational team members; supports A/P staff in their role as business partners to the operational teams.

Trains, assists, and mentors A/P Processors; troubleshoots technical issues.

Maintains knowledge of Sales and Use tax and how it applies to PGA entities.

Coordinates the quarterly and year-end review for the annual 1099-MISC reporting.

Provides supporting documentation for audits, as needed.

Prepares and maintains documentation of A/P policies and procedures.

EDUCATION AND EXPERIENCE:

High School Diploma or equivalent.  Bachelor’s degree preferred. 

Three years of experience in a computerized A/P processing environment. Workday experience preferred.

One-year team management experience is strongly preferred.

SUPERVISION:

This is a supervisory position responsible for the performance management and hiring of employees within the department.  

FINANCIAL RESPONSIBILITY:

This position has no budgetary responsibility.

SKILLS, KNOWLEDGE AND ABILITIES:

Must have knowledge and a solid understanding of Accounting processes and procedures. Knowledge of Sales and Use tax and how it applies to PGA entities.  Ability to interact with vendors in a professional manner.  Ability to meet deadlines as required.  Knowledge  of financial systems, preferably Workday. Working knowledge of Gmail, Google Drive, Google Sheets, and Google Docs. Basic fluency in artificial intelligence (AI) tools and concepts. This includes using AI to enhance business operations and drive innovation, enabling us to better serve our Members and stakeholders.
