What you will be doing:
Process / Activities Execution: Accountable for the end-to-end payment process, including reviewing payment instalments, generating payment files, and coordinating and collaborating with the Treasury team to confirm fund availability and ensure timely payments. Ensure timely processing of special and miscellaneous payments within tight deadlines. Investigate and support the resolution of payment-related queries and issues, such as delays or failed payments, by collaborating with internal teams, vendors, and banking partners. Provide input to update vendor banking information to Vendor Master Data team, and provide support to detect and prevent any fraudulent request, ensuring data accuracy and compliance with internal controls. Perform due diligence around bank account verification following internal GBS procedures
Problem Solving: Apply sound judgment to investigate and resolve payment-related issues, including failed invoices, reconciliation discrepancies, and missed SLAs. Collaborate with the queries team, treasury, and banks to identify and resolve process inefficiencies, payment failures, and related queries
Technology & Systems: Leverage ERP systems, reconciliation tools, and banking systems (e.g., Deutsche Bank, Citibank, HSBC), to monitor payment transactions accurately and efficiently. Analyse system-generated reports to identify and address discrepancies.
Risk, Compliance & Controls: Ensure that all the payments processed are in compliance with the internal controls, company policies, and relevant regulatory requirements. Maintain accurate and up-to-date documentation for audit purposes and support internal and external audits related to payment processes. Ensure robust compliance with the fraud policy; preventing, detecting and reporting any suspicious fraudulent activity relating to vendor bank details.
Continuous Improvement: Proactively identify opportunities to streamline and enhance payment processes, focusing on reducing errors, improving efficiency, and ensuring compliance. Analyse payment workflows and performance metrics to uncover bottlenecks or recurring issues, and recommend actionable solutions.
Position requirements:
Experience:
Bachelor’s degree in accounting, Finance, Business Administration, or a related field.
2-5 years in similar role in finance
Experience with SAP, Coupa, Vendor Portals, Excel and Home-Banking Systems
Experience to vendor/stakeholder management, treasury processes, procedures and complexities (e.g., cash cycle)
Familiarity with compliance and accounting policies
Proficiency in Microsoft Excel, including use of formulas and pivot tables, ability to perform reconciliations and generate accurate reports to support payment processes
Fluent English (C1). Knowledge of German would be advantageous.
Skills & Competencies:
Technical / Functional Knowledge: Demonstrates solid understanding of the end-to-end payment processes, with the ability to accurately interpret and validate financial data in accordance with company policies.
Problem solving: Apply logical, data-driven approach to identify and resolve complex payment issues, investigates root causes thoroughly and exercises sound judgment in non-standard situations.
Organisation: Clear understanding of the Payments function within the finance landscape, including upstream procurement activities and downstream treasury processes that impact end-to-end payment operations
Accountability: Takes full ownership of the payments processing, ensuring timely completion and resolution while maintaining a high level of accuracy
Leadership: Supports onboarding and training of new analysts by sharing knowledge, documentation, and best practices. Represents the AP team on meetings upon of its managers in case of their absence.
Interpersonal skills: Communicates clearly and professionally with both internal and external stakeholders.
