Academic Program Administrator

The Keck School of Medicine of USC, Department of Medicine, Division of Nephrology and Hypertension, is seeking an Academic Program Administrator to join its team.  The ideal candidate should be motivated to succeed, be a team player, be able to multitask in a high-energy environment, produce high-quality results, and maintain a welcoming and professional demeanor.

The Academic Program Administrator will assist the Program Director and Associate Program Director with ACGME accreditation requirements, including processing milestone documentation and reports, coordinating and attending meetings.

  • Serves as lead administrative person for Nephrology Fellowship Program in the implementation of program policies and processes, curriculum, including ACGME accreditation requirements. 
  • Manages the division’s education calendar, including the division’s CME-accredited Renal Grand Rounds.  Works with the internal medicine residency program for intern lecture schedule and morning report; works with KSOM for faculty renal lectures to medical students.
  • Plans recruitment with program director and organizes and executes in-person or virtual recruitment activities; coordinates wellness events for fellows; coordinates in-training exams, serves as chief proctor, recommends and implements coverage schedule
  • Serves as administrative contact with GME Office: Institutional GME, Department of Medicine GME, and Keck Medical Center GME Office.
  • Manages the day-to-day administration of a non-ACGME transplant nephrology fellowship program, which involves recruitment, onboarding and off-boarding, curriculum implementation, fellows rotation and lecture schedules; submits reports to accrediting body.
  • Coordinates internal (Keck School of Medicine) and external medical students (domestic and international) clerkship on nephrology rotation with the KSOM Academic and Career Advising Office.  Also coordinates nephrology rotation for external residents
  • Hires USC-paid fellow annually; Assists in new staff member training, including onboarding of new fellows and faculty; communicates instructions; maintains employee records, and assigns work to others.
  • Primarily manages faculty and fellows' clinical schedules on the scheduling platform – QGenda (Keck-recognized scheduling platform) and Amion (LAC+USC scheduling program).  Includes communicating any changes with stakeholders in inpatient and outpatient services.
  • Inputs Annual ACGME WebADS updates and milestones reports.  Conducts Annual ACGME Surveys.
  • Performs other related duties as assigned or requested.  The University reserves the right to add or change duties at any time.

Shift: Monday - Friday - 40 hours per week

Salary Range:

The annual base salary range for this position is $75,000 - $78,000. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.“

Minimum Skills: Experience managing learning programs for adults. Proven ability to build and maintain positive relationships with stakeholders. Demonstrated experience in management/leadership roles, building and maintaining relationships with domestic and international stakeholders. Proven budget oversight and planning experience. Outstanding interpersonal, oral, and written communication skills, with exemplary attention to detail. Experience in higher education and/or customer service. Proven ability to plan, implement, and coordinate program logistics. Demonstrated database/data entry experience. Proven project management and problem solving skills, able to handle multiple timelines, changing priorities, and fluctuating workloads.
Preferred Education: Bachelor's degree

Preferred Experience: 5 years working in higher education.
