The Academic Coordinator provides comprehensive administrative, operational, and programmatic support to Practice Operations leadership. This role serves as a critical liaison between clinical operations, academic programs, and nursing leadership to ensure alignment of educational activities with operational goals, access initiatives, and patient care standards. The position requires a high level of organization, discretion, and the ability to manage multiple priorities in a fast-paced academic healthcare environment.

Essential Duties and Responsibilities:

Operational & Leadership Support

  • Provide direct administrative support to leadership, including calendar management, meeting coordination, and preparation of materials.

  • Develop agendas, document meeting minutes, and track follow-ups for leadership, operational, and academic meetings.

  • Assist with project coordination related to access optimization, scheduling initiatives, and practice transformation.

  • Prepare reports, dashboards, and presentations for leadership review.

Program & Project Management

  • Support implementation and ongoing coordination of academic and operational initiatives (e.g., schedule optimization, access improvement, care model changes).

  • Monitor timelines, deliverables, and key milestones across multiple projects.

  • Collaborate with project managers, nursing leadership, and practice leadership to ensure execution of initiatives.

Data & Reporting

  • Collect, analyze, and maintain data related to programs, clinic utilization, and operational performance.

  • Generate routine and ad hoc reports (e.g., access metrics, productivity, session utilization).

  • Assist in identifying trends and opportunities for improvement in both educational and operational domains.

Communication & Stakeholder Engagement

  • Act as a central point of communication across departments for academic and operational coordination.

  • Draft and distribute communications on behalf of leadership (e.g., updates, program changes, scheduling adjustments).

  • Facilitate coordination between faculty, nursing, administrative teams, and learners.

Compliance & Documentation

  • Ensure compliance with institutional, regulatory, and accreditation requirements (e.g., ACGME, DNV as applicable).

  • Maintain accurate records of academic activities, attendance, and required documentation.

  • Support preparation for audits, reviews, and accreditation processes.

Qualifications:

Education:

  • Associate’s degree required (Healthcare Administration, Business, Education, or related field preferred)

Experience::

  • 3–5 years of experience in healthcare administration, academic coordination, or clinical operations required

Skills & Competencies:

  • Strong organizational and project coordination skills

  • Ability to manage multiple priorities and deadlines with high attention to detail

  • Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with Epic preferred

  • Data tracking and reporting experience

  • Excellent written and verbal communication skills

  • Ability to work independently and exercise sound judgment

  • Strong interpersonal skills with the ability to collaborate across all levels of the organization
