Job Description:

The Contract and Cost Administrator supports the Senior Contracts Manager in the commercial and contractual administration of the NSCR CP04 Project, covering E&M Systems, Track Works, and Depot Equipment. The role is central to preparing and maintaining all cost-related documentation and payment submissions to the Engineer/Employer, including the compilation of Interim Payment Applications (IPAs), cost summaries, and contractual records.

Key Responsibilities

  • Prepare complete Interim Payment Applications (IPAs) for submission to the Engineer/Employer, ensuring all supporting cost summaries, progress reports, and measurement data are accurate, consistent, and contractually compliant.
  • Consolidate and verify financial data, progress quantities, and cost information received from engineering, construction, and subsystems including subcontractor teams.
  • Track and reconcile the status of Interim Payment Certificates (IPCs) and payment processing with internal finance teams.
  • Administer subcontractor agreements and related commercial documentation, including variations, claims, and payment applications.
  • Assist, as required, in the preparation of contractual correspondences and formal letters to the Engineer, Employer, and subcontractors, to gain exposure to contract administration practices and procedures.
  • Monitor project costs, commitments, and budgets; prepare cost summaries, financial analyses, and periodic reports for management review.
  • Maintain detailed records of correspondence, notices, and submissions related to payments, variations, and claims in accordance with project procedures.
  • Support the preparation of claim documentation, variation dossiers, and substantiation for contractual entitlements.
  • Coordinate with the Planning, Engineering, and Construction teams to obtain updates required for cost and progress reporting.
  • Assist in audits and reviews of project cost and contract management documentation.
  • Ensure strict confidentiality and accuracy in handling commercial and contractual data.
