Who are we hiring?

Under the supervision of the Senior Director, Workplace Services, the Senior Manager, Workplace Services will be responsible for supporting the Office Services team on day-to-day site requirements & service requests for the 400K sq./ft. office space within buildings 2 PENN and 11 PENN.

This position will be responsible for general conditions, maintenance activities and administrative duties across multiple sites.  The Manager should have proven experience working in a cross-functional capacity delivering results in a fast-paced environment.  This position will support core internal partners on day-to-day site needs.

 What will you do?

  • Work with outside service vendors, including janitorial, HVAC, electrical, plumbing, painting, etc. seeing through scope of work
  • Conduct physical inspections of the facilities identifying areas of need and see they are addressed in a timely manner. Understand furniture systems and demonstrate the ability to modify and/or reconfigure workspace areas.
  • Work cross-functionally to ensure space environment is in lock-step with the activity & timelines during the On-Boarding & Off-Boarding process by coordinating space relocation services (workstations, offices, departments) with the internal client as well as associated internal & external service providers to ensure seamless transition.
  • Actioning internal client needs in regard to but not limited to: space planning, furniture, environmental comfort, on/off boarding and ad hoc business continuity requests.
  • Ability to execute autonomously providing timely response to employee and operational needs
  • Work in partnership with other enterprise support operations such as IT, security, building engineering and kitchen BOH addressing tasks at hand.
  • Assist with vendor compliance on insurance requirements & renewals.
  • Continual review/update for floor plan accuracy detailing seating locations & layouts.
  • Maintain stock, conduct daily rounds to replace, keep track of pantry equipment and other workplace amenities.
  • Track all vendor billing ensuring invoices are received in a timely fashion, maintain budget compliance, help prepare contracts, purchase orders as directed
  • Help monitor and ensure vendors comply with insurance requirements & renewals
  • Manage repairs & maintenance (R&M) & other requests (IT, Security etc.) tracking to completion
  • Create work order requests & tracking progress/closeout in a timely fashion
  • Responsible for the accuracy of floor plans representing seating assignments & layouts
  • Continually monitor floor activity to ensure clean & safe working environment
  • Work with building operations & external trades on problem solving facility related issues
  • Support daily office operations & address end-user requests as they arise

What do you need to succeed?

  • 8-10 years of experience in commercial/industrial real estate facility management, with at least 3 years in facility management.
  • Basic working knowledge of HVAC, plumbing and electrical systems.
  • Manage vendor performance and financial reviews, execute RFP’s and ensured invoicing and payments match contract pricing
  • Strong oral and written communication as well as excellent interpersonal & professional engagement skills.
  • Strong organizational skills, and the ability to efficiently manage and prioritize multiple
    projects with accuracy with strong attention to detail.
  •  Self-starter with a strong sense of personal initiative; responsible, reliable and dependable with strong follow through.
  • Strong customer service focus and orientation.
  •  A team player able to coordinate and collaborate across the organization
  • OSHA 10 Certification a plus

Pay Range
$96,000$160,000 USD
