Position Title: Workspace Guest Services

Position Summary

The Workspace Guest Services serves as the first point of contact for all visitors and provides essential administrative support to ensure smooth daily operations. This role combines visitor management, mail handling, administrative support, and meeting room coordination.

Key Responsibilities

Visitor Reception and Management

  • Provide friendly and professional welcome to all client visitors and guests

  • Assist visitors in determining the purpose of their visit and direct accordingly

  • Notify host personnel or alternative contacts of visitor arrivals promptly

  • Collect necessary information and open visitor accounts in the WSB system

  • Guide visitors to appropriate waiting areas and ensure their comfort

Mail and Package Management

  • Receive, sort, and record all incoming mail and documents by department

  • Process outgoing mail and packages for both domestic and international delivery

  • Sort outgoing correspondence by department and maintain accurate records

  • Monitor and report on mailing status upon request from staff members

  • Coordinate delivery of mail and packages from vendors

Administrative Support and Cost Management

  • Review and verify cost center information for monthly mailing files from VNPT/DHL

  • Maintain comprehensive logbooks for all mailing activities and records

  • Allocate monthly mailing costs for VNPT services across Ho Chi Minh City and Da Nang branches

  • Process facility-related requests from staff members

  • Ensure reception area maintains professional appearance and is well-stocked with amenities

Meeting Room and Event Coordination

  • Schedule and book meeting rooms for staff upon request

  • Coordinate tea and refreshment services for meeting attendees and staff guests

  • Conduct pre-meeting room inspections to ensure proper setup and readiness

  • Maintain meeting room booking systems and resolve scheduling conflicts

Required Qualifications

  • Previous receptionist or administrative support experience preferred

  • Strong communication and interpersonal skills

  • Proficiency in basic office software and record-keeping systems

  • Professional appearance and demeanor

  • Ability to multitask and prioritize responsibilities effectively

  • Attention to detail and accuracy in record-keeping

  • Customer service orientation

Working Conditions

  • Full-time position with standard business hours

  • Primary work location at reception desk and administrative areas

  • Regular interaction with visitors, staff, and vendors

  • Occasional coordination with external service providers

This position plays a vital role in maintaining professional standards and supporting daily business operations through excellent visitor service and efficient administrative support.
