JOB DUTIES AND RESPONSIBILITIES:
Responsible for the organization and maintenance of electronic files related to staff education and regulatory compliance as directed by Quality leadership.
Assists with VNA inventory and purchasing duties as directed.
Assists in the preparation of monthly statistical reports for various VNA committees or meetings as requested by gathering data from various sources.
Assists the Education Coordinators and Quality staff in their role with clerical support for orientation and ongoing education throughout the year.
Responsible for electronically updating agency policy and procedures.
Collaborate and communicate effectively with office and clinical staff in order to promote timely exchange of information required for database maintenance or various performance improvement initiatives.
Communicate effectively via telephone, screening calls, and referring to appropriate personnel.
Responsible for preparing meeting packages and taking minutes as directed.
Responsible for scheduling meetings and rooms as directed.
Demonstrates proficiency in the use of Microsoft Suite, Adobe Acrobat and other computer systems as needed.
Act as a backup to other personnel for data entry and database maintenance as needed.
Maintain thorough and accurate documentation.
Maintains confidentiality of all materials handled within the Network/Entity as well as the proper release of information.
Complies with Network and departmental policies regarding issues of employee, patient and environmental safety and follows appropriate reporting requirements.
Demonstrates/models the Network’s Service Excellence Standards of Performance in interactions with all customers (internal and external).
Demonstrates Performance Improvement in the following areas as appropriate: Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process, and Safety.

Complies with Network and departmental policies regarding attendance and dress code.
Special projects and other related duties as requested by the VNA leadership team.

Frequently twisting: Bending or turning, generally to a side. Frequently walking: Walking is to move about on foot. Frequently lifting / carrying: 5 pounds and under - frequently; 6-10 pounds - frequently; 11-49 pounds - frequently; 50 pounds and over – occasionally. Pushing / Pulling: 5 pounds and under - frequently; 6-10 pounds - frequently; 11-49 pounds - frequently; 50 pounds and over - occasionally. Other environmental factors / considerations: hearing: The ability to hear, understand, and distinguish speech and/or other sounds. Continuously vision: To include far, near, peripheral, and color. Continuously communicating verbally: Expressing or exchanging ideas by means of the spoken word to impart oral information to clients or the public and to convey detailed spoken instructions to other works accurately, loudly or quickly. Continuously equipment operation: Operating a cart, car, van, truck, and/or other heavy equipment. Continuously contact/exposure with chemical, biological, radiological material, heat/cold, or other environmental factors that may require the use of PPE.
EDUCATION:
High school diploma or equivalent required. Associate or bachelor’s degree in a related healthcare field preferred.
TRAINING AND EXPERIENCE:
Demonstrated accomplished clerical position in an office setting. Computer proficiency in Microsoft Office Suite and Adobe Acrobat. The ability to take initiative, prioritize tasks effectively, and maintain strong organizational skills.
