Job Summary
The Housing Administrator/Inspector supports both the administrative and operational functions of the Housing Office at Incirlik Air Base, Turkey, reporting directly to the Installation Management Housing Leadership. This dual-role position is responsible for managing housing data, coordinating inspections, maintaining accurate resident and facility records, and ensuring compliance with applicable housing standards, policies, and regulations.
The incumbent performs a wide range of duties, including overseeing check-ins, move-outs, vacancy tracking, and inspection schedules; preparing reports and correspondence; maintaining official housing documentation; and coordinating with tenant commands, government agencies, and internal cross-functional teams. The Housing Administrator/Inspector also assists with tracking maintenance actions, managing work order records, and supporting departmental initiatives to improve efficiency, compliance, and service quality.
This position requires exceptional organizational and communication skills, strong attention to detail, and the ability to work independently with minimal supervision. The Housing Administrator/Inspector plays a vital role in ensuring safe, compliant, and well-maintained housing facilities while supporting Installation Management and Housing Leadership in the effective oversight of housing operations and administrative functions.
Roles and Responsibilities
Administrative and Leadership Support:
- Provide direct assistance to Housing and Installation Management Leadership by completing assigned administrative, operational, and logistical tasks that contribute to the efficient management of housing and installation programs.
Client Coordination and Data Management:
- Coordinate with tenant commands to update eMH data, assist clients in identifying housing needs, locate available units, negotiate housing terms, verify eligibility, and resolve issues while maintaining accurate records and ensuring data integrity.
Inspections and Compliance Oversight:
- Conduct various inspections (Check-In, Pre-Final, Final, Change of Occupancy, Vacant, Safety, Grounds, and Drive-Arounds), document findings using standardized checklists and forms, maintain detailed inspection records, and coordinate maintenance actions through NexGen systems.
Records and Vehicle Management:
- Maintain and update the Change of Occupancy (COM) list, Key Log, and No-Show Inspections Log.
- Manage records for government-owned vehicles, including utilization, maintenance, and fueling documentation.
Database and Systems Support:
- Design, install, and maintain automated databases and tracking tools for occupancy, maintenance, and historical data to ensure accuracy, accessibility, and timely reporting for leadership.
Office and Operational Coordination:
- Prepare correspondence, reports, spreadsheets, and meeting documentation using Microsoft Office Suite.
- Organize meetings, relay communications, record minutes, and manage departmental logistics.
Resource and Facility Oversight:
- Manage office supplies, coordinate equipment repairs, and collaborate with internal departments and external agencies for operational needs, including travel, meeting arrangements, and logistical support.
Research and Process Improvement:
- Conduct independent research, prepare analytical reports, and support departmental initiatives that enhance operational efficiency, ensuring compliance with all applicable policies, procedures, and regulations.
Customer Service and Client Relations:
- Provide professional and responsive customer service to clients, colleagues, and leadership through phone, email, and in-person communication.
- Address inquiries, resolve issues promptly, and maintain positive resident relations and mission continuity.
Basic Qualifications
- Turkish Citizen
- High school diploma or equivalent (Associate’s or Bachelor’s degree in Business Administration or a related field preferred)
- Previous experience in property management, housing administration, or customer service
- Familiarity with housing policies, procedures, and regulations (military housing experience preferred)
- Fluent in reading, writing, speaking, and comprehending English (Level 3)
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Strong attention to detail with ability to maintain accurate records and ensure regulatory compliance
- Minimum “B” class driver’s license
- All male candidates must have completed military service
- Experience in data entry, bookkeeping, scheduling, and coordinating meetings or site visits
- Excellent interpersonal, communication, and organizational skills
- Ability to work independently with minimal supervision
Preferred Qualifications
- Minimum of 2 years of experience in property management or housing administration
- Experience in budget tracking, invoicing, and procurement processes (furnishings management or government contracting environment preferred)
- Experience with asset management or work order tracking systems
- Familiarity with construction documents, housing conversions, and project workflows
- Understanding of U.S. Government or military housing operations is a plus
