Travel Coordinator
Location: Remote (United Kingdom / Ireland)
Hours: 5:30pm – 1:00am
Weekend Coverage: 1 in 5 weekends (subject to change based on team rotation)
About the Role
The Travel Coordinator plays a vital role in supporting our employees by managing all aspects of travel planning and coordination. This position works closely with regional team leads across the U.S. to ensure efficient, cost-effective, and safe travel arrangements for employees travelling to and from customer sites. The role requires exceptional organisational skills, attention to detail, and proactive communication.
Key Responsibilities
- Coordinate all travel logistics for field engineers in collaboration with regional team leads.
- Maintain and update work schedules and planners to reflect job assignments, completion dates, and engineer availability.
- Organise and manage travel arrangements including flights, accommodation, transportation, and related logistics, ensuring alignment with contractual timelines and company policy.
- Source and book efficient and cost-effective travel options, prioritising employee safety and comfort.
- Communicate travel details, updates, and changes promptly to employees and stakeholders.
- Respond to engineer enquiries with professionalism, empathy, and efficiency.
- Take ownership of assigned tasks, ensuring deadlines and priorities are consistently met.
- Collaborate with the wider Field Operations team to support smooth planning and scheduling.
- Provide support or coverage for other team roles as needed (e.g., during holidays, sick leave, or high-demand periods).
- Report issues or challenges promptly to senior team members for timely resolution.
- Uphold strict confidentiality standards at all times.
- Manage expense authorisations within agreed limits and maintain accurate financial records.
- Keep administrative systems, records, and trackers (e.g., leave planners) organised and up to date.
- Provide regular progress updates and reports to the Operations Manager.
- Participate in out-of-hours duties on a rotational or as-needed basis.
- Complete all required or assigned training to support professional development and operational needs.
- Perform other related duties as required, in line with skills and competencies.

- Proven experience in travel coordination, scheduling, or administrative support.
