The Transportation & Logistics Coordinator is responsible for providing reliable, safe, and courteous transportation services between facility locations and ensuring the efficient receipt, distribution, and dispatch of mail, packages, and supplies. This position plays an important role in maintaining smooth daily operations and administrative services for the facility.
ESSENTIAL FUNCTIONS:
Shuttle Operations
- Safely operate facility-owned shuttle vans to transport employees and materials between designated locations.
- Maintain daily route schedules, ensuring timeliness and reliability.
- Assist passengers with entering and exiting the vehicle as needed, providing courteous service at all times.
- Perform pre- and post-trip vehicle inspections; report any maintenance or safety issues promptly.
- Maintain cleanliness and professional appearance of vehicles.
- Adhere to all traffic laws, safety standards, and facility transportation policies.
Loading Dock Operations
- Coordinate and monitor all inbound and outbound deliveries to ensure efficient dock utilization.
- Verify delivery documentation and ensure accurate routing to appropriate departments or tenants.
- Maintain safety standards, ensuring loading dock areas remain clean, organized, and free of hazards.
- Schedule and communicate delivery appointments with tenants and vendors to minimize congestion.
- Monitor compliance with facility access control policies and vendor check-in procedures.
- Report maintenance or security concerns immediately to Facilities Management.
Mailroom & Logistics
- Receive, sort, and distribute incoming and outgoing mail, courier packages, and interoffice deliveries for all departments.
- Coordinate with postal and courier services for scheduled pickups and deliveries.
- Track and document delivery logs, chain-of-custody records, and internal distribution routes.
- Assist departments with large shipments, medical supplies, or special courier requests.
- Maintain organized mailroom operations, including inventory of shipping materials and supplies.
- Support secure handling of confidential and time-sensitive materials (e.g., patient information, financial documents).
Administrative & Facility Support
- Communicate delivery and transportation schedules with department leaders.
- Maintain accurate records of fuel usage, mileage, and delivery activities.
- Participate in safety meetings and training as required by facility policy.
- Provide backup support to facilities or maintenance staff as assigned.
Customer Service & Communication
- Provide excellent customer service to tenants, staff, and vendors.
- Communicate effectively with building management and maintenance teams to coordinate deliveries, moves, and large shipments.
- Maintain professional and courteous relationships with delivery drivers and external partners.
EDUCATION & EXPERIENCE:
- High school diploma or equivalent required.
- Minimum 2 years of experience in mailroom and dock coordination, courier, or transportation operations; healthcare or institutional setting preferred.
- Valid driver’s license with clean driving record.
- Ability to lift up to 50 lbs. and stand or walk for extended periods.
- Ability to operate material handling equipment (e.g., pallet jacks, carts, dollies).
- Working knowledge of safety procedures, OSHA standards, and building security protocols.
- Strong organizational and time management skills.
- Professional demeanor and customer service focus.
- Familiarity with HIPAA and confidentiality practices preferred.
