POSITION TITLE: Third Party Risk Supervisor (Non-LO-No Consumer Contact)

JOB STATUS: Full-time/Salary

REPORTS TO: Third Party Risk Manager

TRAVEL REQUIRED: As Needed

WORK SCHEDULE: Hybrid- 3 days in office/ 2 days remote

Pay: The expected hiring range for this position is from $87,935 to $109,920 plus additional bonus opportunity. The stated hiring range is based on experience, qualifications, and other relevant factors. Final compensation decisions will take into account a variety of considerations, including individual skills, internal equity, and organizational needs.

JOB SUMMARY:

The Third Party Risk Supervisor reports to the Third Party Risk Manager and supervises a team of specialists that complete the day-to-day duties of setting up vendors and ensuring vendor compliance. This position protects the company by completing numerous vendor audits set forth by state regulations. Audits include reviewing the vendor’s security for the physical location, computer security and file security. The Third Party Risk Supervisor also reviews, interprets, and negotiates contractual provisions to ensure company compliance and mitigates company risk.

JOB FUNCTIONS:

1. Leading Vendor Relations Team and Process Management

· Coaches, guides, and supports Third Party Risk team members in the development implementation of process improvements and initiatives.

· Oversees audit timelines for all Vanderbilt and Silverton Mortgage vendors, ensuring timely completion and adherence to established deadlines.

· Serves as corporate contact for all Vanderbilt and Silverton Mortgage vendors, as well as backup contact for other business unit (BU) vendors and contract-related inquiries.

· Assists in development and implementation of processes related to sourcing, due diligence, contracting, ongoing monitoring, and offboarding of technology vendors in collaboration with Clayton technology teams, Information Security, Architecture, and various senior leadership.

· Develops training for business leaders on best practices for sourcing and pricing strategies.

· Partners with business leaders to access project and procurement needs and align them with appropriate vendor solutions for review and selection.

· Attends conferences, engages in industry forums and develops industry relationships with colleagues in third party risk management to support knowledge sharing, best practices and process improvements.

· Aligns with various department managers, including Tech Sourcing and Tech Security for vendor reviews and to establish appropriate vendor tier levels.

· Serves as the initial point of contact for vendor-related incidents, (e.g., contract breaches, data breaches, disruption of business) and coordinates with Senior Leadership, internal stakeholders, legal, and security resources to ensure triage, documentation, and federal and state regulatory obligations are met.

· Ensures adequate support of team members including personal and professional development and being available for team member inquiries.

· Aligns with the Third Party Risk Manager to establish, communicate, and align departmental goals with broader organizational objectives and contributes to strategic planning with the Third Party Risk Manager.

· Guides process improvements and completes Special Projects as assigned.

· Supervises various projects for Oracle implementation, company policies and procedures, and regulatory changes.

· Partners with Third Party Risk Manager on approvals for Third Party Risk related decisions.

2. Contract Negotiations, Vendor Audits and Ongoing Monitoring

· Reviews, interprets, and negotiates contract language, working with department leaders and managers on risk acceptance and deviations. This includes nondisclosure agreements, third party service provider agreements, and various other types of contracts.

· Coordinates with vendors to set up travel arrangements for audit trips to the Home Office and conducts onsite visits annually as required.

· Reviews vendors’ location and physical security to verify compliance, as well as evaluate other operations for compliance with company quality standards.

· Supervises the evaluation of vendors’ operations for compliance with company quality standards, including compliance with the Federal Trade Commission (FTC) and state data privacy to safeguard consumer information.

· Completes Vendor Audit forms for various types of vendors to ensure accuracy and security.

· Pulls various queries to create annual audit plan based on volume and risk vendors present to company.

· Makes improvements to contractual safeguards and contract language to meet changing regulatory and business.

· Manages deviation approval and workflows for contract provisions during vendor onboarding

· Queries and compiles requests from federal/state regulatory requests pertaining to vendors and customer safeguarding.

· Performs regular reviews of company and other enterprise vendors to ensure correct categorizing and risk scoring.

3. Human Resources & Talent Management

· Leads hiring process, coaching and development, team building, and establishes environment for overall success of the Vendor Relations team.

· Assists HR department with phone screens as needed along with scheduling first interviews for candidates.

· Develops team by providing constructive feedback, coaching, and preparation for future career opportunities.

· Counsels team members regarding performance and completes Performance Reviews on an annual basis.

· Fosters a collaborative and high-performing team culture focused on achieving departmental goals and objectives.

· Partners with Third Party Risk Manager and HR to resolve personnel issues.

4. Vendor Management Functions for other Business Units

· Assists with vendor management duties for other Business Units, including Corporate, Retail, and HomeFirst Agency.

· Coordinates risk/contract discussions with outside counsel as needed.

5. Other duties as assigned

QUALIFICATIONS:

· Education: Bachelor’s degree required

· Experience: 2-4 years of related experience

· Must be willing to travel an estimated 10-15% (6-10 days, overnight stays) of the year or more as needed for audits, conferences, and training.

· Working knowledge of mortgage loan originations and mortgage servicing as well as financing terminology.

· Working knowledge of third parties, audit functions, and related processes.

· Familiarity with Oracle, Smartsheet, Word, and Excel, including formulas and features.

· Working knowledge of regulatory rules.

· Capability of gathering facts accurately, analyze causes, evaluate alternate solutions, and arrive at sound conclusions on action to be taken.

· Capable of managing a diverse range of team members.

· Ability to guide, teach and provide feedback to team members.

· Continuous drive around innovation and process improvements.

· Basic computer skills with ability to type at least 25 wpm.

· Ability to communicate effectively and efficiently via phone, Zoom, Teams, email, and person to person.

· Ability to manage multiple and/or conflicting responsibilities.

· Great attention to detail and organizational skills.

· Ability to work in a team environment.

· Always maintains punctuality and attendance standards.

PHYSICAL DEMANDS:

· Must be able to remain in a stationary position 75% of the time.

· Will be constantly operating a computer and other office productivity machinery, such as a telephone, calculator, copy machine, and computer printer.

· Will be communicating 50% of the time over email and teams.

· Must be able to exchange accurate information at all times.

· Must be able to identify and assess account status and determine appropriate process.

· Will constantly work in a state-of-the-art indoor temperature controlled, sealed window office environment.
