The Team Lead, Rate Operations role is responsible for enforcing and improving policies and procedures to support the billing department with a concentration toward the firm’s special billing arrangements to ensure that billing is conducted in full compliance with agreed to client specifications. Requirements of this position entail supporting attorneys, secretaries and the billing department with proper application and management of their special billing arrangements, ensuring accuracy and timeliness while maintaining a high-level quality of customer service and enforcing organization standards. Core responsibilities will include commitment to excellence as demonstrated through continuous staff development, engagement and assessment of talent and skills. This is a hands-on role that also requires expertise in legal billing and knowledge of eBilling processes and procedures. This role will report to the Rate Operations Manager.
What You Will Do:
Assist in leading the Rate Operations team to ensure adherence to established controls/processes that enhance compliance with client and matter fee arrangements.
Collaborate with key stakeholders to facilitate building rate cards and client templates for proposed client pricing arrangements and rate submissions.
Allocate and monitor work assignments, mentor and coach team members to support development and engagement, and assist in facilitating the annual review process.
Support the Rates Manager in overseeing daily operations and team performance, providing backup coverage as needed.
Analyze rate information as requested; including responding to timekeeper rate inquiries.
Develop, prepare and communicate rate/fee arrangements to attorneys; including walking through rate card proposals, methodologies and best business practices.
Lead small projects and process improvement initiatives.
Responsible for compliance reviews and respond to inquiries regarding client and matter agreements; including outside counsel guidelines.
Maintain a system for documenting and cataloguing client rate arrangements, including internal approval details, reset timing, and client imposed rate increase notification requirements. Coordinate, as necessary, with Billing, ebilling and Collections on implementation of the foregoing.
Assist in the implementation and management of standard billing rates for new timekeepers.
Participate in technology reviews and undertake extensive user acceptance testing (UAT) pertaining to reporting tools and systems.
Contribute to, help manage, and enhance resources and content on the intranet, collaboration website and document management system.
Who You Are:
Bachelor’s Degree in Accounting or Business Administration, or equivalent.
5 + years of experience working in a professional services environment, law firm billing experience preferred.
Excellent analytical and problem-solving skills.
Manage multiple assignments simultaneously and work in high stress situations
Demonstrate advanced knowledge of financial management systems such as Aderant Expert.
Excellent interpersonal, communication and customer service skills, including the ability to interact effectively with clients, attorneys, and firm professional staff at all levels.
High level of attention to detail – ensure the integrity/accuracy of data.
Excellent computer skills and proficiency in spreadsheet software applications. Working knowledge of legal services financial and billing systems preferred.
Ability to protect and maintain confidential and sensitive information.
Superior analytical and organizational skills
Excellent written and oral communication skills; including the ability to work independently
Excellent organizational, interpersonal, and customer service skills
Ability to manage multiple assignments simultaneously and work in high stress situations
Advanced MS Excel skills
Intermediate with MS Word and PowerPoint.
