The Opportunity
The Team Lead Document Control is responsible for overseeing the daily operations of the document control team, ensuring that all document management activities are executed efficiently and in compliance with established standards.
What you’ll do
- Supervises and coordinates the workflow of the document control team, including task assignment, quality checks, and process improvement initiatives.
- Facilitates effective communication and collaboration between the document control team and both internal and external stakeholders.
- Ensures adherence to document control standards, policies, and procedures.
- Provides guidance and training to the team members on document control practices, systems, and compliance requirements.
- Monitors the team’s performance such as accuracy of document processing, timeliness of submissions, compliance rates, and resolution of discrepancies.
- Track and report on documentation progressive turnover status, ensuring that all project deliverables are submitted, reviewed, and approved according to corporate standards.
- Oversee project record closeout progress, confirming that all records are properly archived and accessible in accordance with company policies and regulatory requirements.
- Identify, document, and resolve any non-compliance concerns, collaborating with team members and stakeholders to implement corrective actions and prevent recurrence.
- Prepare and distribute regular performance reports (e.g., weekly dashboards, monthly summaries) to management and relevant stakeholders, highlighting achievements, areas for improvement, and outstanding issues.
- Support continuous improvement by analyzing performance data, recommending process enhancements, and facilitating training or coaching as needed.
Minimum Qualifications
- Degree / technical diploma or equivalent experience
- 5 - 10 years of relevant work experience in oil and gas, or a diploma/certification with a minimum of 8 years of experience, or an equivalent combination of education and experience
- Previous experience in document management, project management, or a related field
- Proficiency in document management software and systems such as SharePoint and OpenText are essential
- Strong communications skills, both written and verbal, are crucial for effective collaboration and leadership
- Experience in leadership, change management, and continuous improvement are important for overseeing a team and driving process enhancements
- A high level of attention to detail is necessary for ensuring accuracy and compliance in document management
- Good knowledge of departmental function, terminology and interrelationships
- Good understanding of policies and procedures that apply to assignments
- Exhibits sound judgment and demonstrates a strong work ethic
- Follows instructions, responds to management direction and understands accountability
- Must balance deadlines and multiple competing priorities; sets goals and objectives

- EDMS experience is preferred
