PRIMARY DUTIES & RESPONSIBILITIES

Salary to be commensurate with experience

Hiring pay for this position is $29.14 - $36.42 /hour

The Support Specialist of the City of Aurora Public Safety Training Center performs a variety of clerical duties for the Police Training Academy. This position supports the Training Academy Lieutenant, their staff, and all recruit members.

PRIMARY DUTIES & RESPONSIBILITIES

  • May order supplies and review against budgetary restrictions dependent upon Command Staff approvals

  • Some personnel actions such as personnel orders

  • Prepares information for internal purposes that may be used for outside presentation at meetings

  • Receives and responds to requests for information

  • Heightened responsibility for oversight, management, reconciliation of credit card transactions – Credit Card Custodian

  • Performs other related duties as assigned

UNIT SPECIFIC RESPONSIBILITIES

  • Sorts and distributes mail and other material to appropriate employees, internal divisions or outside agencies.

  • Processes documents and reports

  • May take, transcribe and distribute minutes at meetings.

  • Records transactions and processes any other required paperwork.

  • May take and transcribe complex and confidential reports.

  • Completes ongoing paperwork requirements for P.O.S.T. certification.

  • Plans and sets up for large events

  • Performs Notary duties for the APD

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

Education:

  • ​High school diploma or GED

Experience:

  • 3 years of general clerical experience, including data entry and customer service experience

Preferred Qualifications:

  • Experience working in a judicial or law enforcement environment

Knowledge:

  • Knowledge of office practices and procedures

  • Manual and computer filing systems

  • Advanced knowledge of business English, spelling, and math

  • General office equipment, and a personal computer with related software applications

  • Microsoft Office Suite (Intermediate)

  • Purchase Card Training

Skills:

  • Efficiently and accurately key information using a keyboard and skills in performing data entry

  • Strong interpersonal and organizational skills

  • Composition grammar and spelling

  • Demonstrate proficiency in computer applications, including word processing, spreadsheets, report generation, and maintenance of databases.

Abilities:

  • Establish and maintain effective working relationships with employees and citizens

  • Communicate effectively verbally and in writing

  • Understand oral and written instructions

  • Handle stressful situations with tact and diplomacy

  • Work well under pressure and meet deadlines with little supervision

  • Work independently

  • Maintain confidentiality

  • Understand, interpret, and apply department or division policy and procedures

  • Plan, organize, and prioritize work assignments

Licenses and Certifications Required:

  • CCIC/NCIC Clearance

  • Notary Certificate

Licenses and Certifications Requested:

  • Driver's License

  • Defensive Driving completed through COA within 6 months of employment

  • Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift

Essential Personnel:

When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.

Physical Demands:

  • Medium work that involves moving no more than 40 pounds with or without assistance at a time

  • Frequent lifting, carrying, walking and standing

  • Hand/eye coordination to operate computer keyboard

  • Vision to read and interpret reports, documents and other written information

  • Frequent speech communication and hearing to maintain communication with employees and citizens

Work Environment:

  • Works primarily in clean, comfortable office/cubicle environment with shared equipment

Equipment Used:

  • Frequently uses computer keyboard and telephone, fax machines, and copier

  • This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
