Role Overview:
We are seeking a dynamic and experienced Accounts Payable Supervisor to lead our India AP operations within a fast-paced, global SaaS organization. The ideal candidate will have deep expertise in Indian taxation (GST, TDS, withholding taxes) and a proven ability to manage outsourced teams, ensure compliance, and drive operational excellence.
This role demands a strategic thinker and hands-on problem solver who can effectively bridge the gap between suppliers, tax consultants, internal business owners, and global finance teams — while championing process improvement and automation initiatives that align with our company’s digital-first philosophy.
Key Responsibilities:
1. AP Operations & Governance
Lead the end-to-end Accounts Payable process for India, ensuring accurate and timely invoice processing, approvals, and payments.
Manage relationships and performance of the outsourced AP processing team, ensuring SLAs, accuracy, and compliance standards are consistently met.
Oversee invoice validation, and payment runs, ensuring adherence to internal policies and regulatory requirements.
Maintain integrity of AP sub-ledgers and support month-end close activities, reconciliations, and accruals.
Partner with the global AP and finance operations teams to align on best practices, global policies, and system enhancements.
2. Taxation & Compliance
Ensure end-to-end compliance with India’s GST, TDS, and withholding tax regulations for supplier transactions.
Review and validate tax codes, ensuring correct classification and input tax credit (ITC) eligibility.
Coordinate with external tax consultants for timely returns, reconciliations, and audits.
Maintain strong awareness of tax regulations for SEZ, Non-STPI, ensuring correct documentation and benefits are utilized.
Ensure proper tax compliance and documentation for cross-border payments, including FEMA and RBI regulations.
Monitor changes in tax laws and implement necessary process or system updates in collaboration with tax and finance systems teams.
3. Process Optimization & Digital Transformation
Champion automation and digital transformation initiatives within the AP function — leveraging ERP, AI, and RPA tools to improve efficiency and accuracy.
Identify and implement process improvement projects aimed at improving controls, reducing cycle time, and enhancing the supplier experience.
Collaborate with IT and global finance transformation teams to design and implement scalable and standardized global AP processes.
Define and track KPIs, metrics, and dashboards to monitor AP performance and identify continuous improvement opportunities.
4. Stakeholder & Vendor Management
Serve as the bridge between suppliers, internal business teams, procurement, and finance to ensure smooth resolution of issues and transparent communication.
Build and maintain strong relationships with key internal stakeholders — including procurement, tax, treasury, and accounting.
Provide support to business units regarding vendor setup, payment policies, and tax compliance.
Drive initiatives to improve supplier satisfaction and collaboration, including vendor education on digital invoicing and compliance requirements.
5. Regional & Global Collaboration
Partner with regional and global AP teams across APAC and EMEA to ensure consistency in processes, controls, and compliance.
Support global finance transformation projects, including ERP rollouts, policy harmonization, and new country implementations.
Leverage knowledge of AP processes in other APAC markets (e.g., Singapore, Australia, Japan, Philippines) to drive process standardization and efficiency.
6. Leadership & Team Management
Manage and mentor the outsourced AP team, ensuring adherence to KPIs and operational excellence.
Work closely with external consultants and service providers to ensure compliance and performance.
Promote a culture of accountability, innovation, and continuous improvement within the AP function.
Qualifications & Experience
8–12 years of progressive experience in Accounts Payable and Taxation, including at least 3–5 years in a managerial or leadership role within a multinational or SaaS/global technology company.
Proven experience managing outsourced AP teams (BPO or SSC) and collaborating with global finance functions.
Strong working knowledge of GST, TDS, withholding tax, and cross-border compliance in India.
Prior exposure to global AP operations or multi-country AP processes within APAC is a strong advantage.
Experience with ERP systems (SAP, Oracle, Netsuite, or Workday) and modern workflow tools for invoice automation.
Technical & Functional Skills:
Excellent understanding of India tax compliance, SEZ/STPI registrations, and documentation.
Strong grasp of cross-border payment processes, banking compliance, and documentation (e.g., Form 15CA/CB).
Familiarity with M&A integration tools and project management methodologies is an advantage.
Proficiency in Excel, Power BI, or data analytics tools to analyze and visualize AP data.
Familiarity with RPA or AI-driven AP tools is a plus.
