Space and Facilities Planning Intern - Federal Work Study (Student Wage)

The School of Medicine (SOM) Space and Facilities Planning within the Dean’s Office is recruiting an intern to assist with the collection, verification, and entry of space utilization data across SOM-managed facilities. Space utilization data is critical to plan space use, both for existing space use and for recruitment and space forecasting. This intern role provides an excellent opportunity for those interested in facilities management, space planning, architecture, or operations to understand institutional facilities, space types and metrics, and the efforts that are involved in space planning. The student will work directly with SOM Space and Facilities Planning and department administrators, gaining hands-on experience in a dynamic academic environment. 

Key Responsibilities 

The selected intern will work closely with the SOM Space and Facilities Planning team to complete a variety of tasks, including but not limited to: 

  • Facility Walkthroughs: Conduct systematic walkthroughs of SOM administrative and research spaces to document current room usage and occupants. This includes identifying and verifying room numbers, functional space types (e.g., wet lab, dry lab, office, classroom), and room assignments. 
  • Engagement with Departments: Professionally engage with departmental administrators to confirm the operational use of spaces and gather contextual details that may not be visible through observation alone. This includes clarifying shared or multi-functional spaces and ensuring updates align with departmental reporting. 
  • Data Entry and Reporting: Compile findings with accuracy and consistency into organized reports, highlighting inconsistencies or changes that require follow-up. This may involve reconciling current records against SOM’s space database (FM:Interact), spreadsheets, or other historical records to identify discrepancies. 
  • Collaboration and Documentation: Participate in weekly or bi-weekly check-ins with SOM Space and Facilities Planning to discuss progress, challenges, and areas of improvement. Maintain detailed notes and photographs (when appropriate) to support the data documentation process.

Hourly Rate: $15.00

This position begins as soon as it is filled and ends May 8, 2026; however, continued employment beyond this date is a possibility.

Position Location: McKim Hall, Charlottesville, VA

PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
