Schedule: Must be available to the Government via phone and email between the hours of 8:00 A.M EST to 5:00 P.M. EST, Monday through Friday.  Candidates should expect evening and weekend hours will be required. Must be accessible by mobile phone 24/7/365  

Travel: Limited travel as required

Job Summary:

The Site Manager will be accountable to meet all performance, quality, security, and compliance requirements established by the Government and KACE Company at the El Paso site. The El Paso Manager will be KACE Company’s primary point of contact with the Program Manager for the contract.  The Site Manager will report to KACE’s Vice President of Operations.

Essential Functions and Responsibilities:

  • Establish timely communication and adherence to contract guidelines, deliverables, and applicable regulations.
  • Oversee all staffing hires ensuring that staff meet all contracts and KACE education, experience, and clearance requirements. 
  • Establish, oversee, and perform quality control functions by working with and communicating with lead interpreters daily to ensure that QC reviews of daily operations are conducted.
  • Oversee administrative tasks, addressing staffing needs, enforcing client and company policies and procedures, and addressing performance issues promptly.
  • Oversee the development and delivery of training
  • Conduct annual reviews, in conjunction with lead interpreters, of all staff to evaluate compliance with contract requirements, policies, procedures, timely performance of tasks and deliverables, effective collaboration with government stakeholders, and training needs. 
  • Ensures uniform processes and procedures are implemented and executed across all workflow tasks.
  • Prepare and present requested reports to the Program Manager regarding the status of the program.
  • Leverages key performance indicators to proactively monitor and improve performance.
  • Maintains and updates operating SOPs.
  • Reviews current policies and procedures and recommends revisions that will support the changing/evolving needs of the operation.
  • Enforces employee code of conduct and provides guidance on disciplinary issues; collaborates with People Services Business Partner.
  • Addresses issues in a timely manner and ensures chain of command is aware when appropriate.   
  • Collaborates with Compliance for audits and conducts internal routine quality checks to ensure operational, administrative and contract compliance. 
  • Monitors, reviews and collaborates with corporate support services (People Services, IT, Payroll, Billing, and Finance) to ensure administrative procedures and contractual requirements are implemented efficiently and timely.
  • Monitors staffing fill rates, turnover, overtime and output levels per site.
  • Comply with all data security requirements and safeguard sensitive and confidential information
  • Other duties as assigned.

Minimum Qualifications & Skills:

  • Required: A bachelor’s degree
  • Required: A minimum of 3 years managing a government funded language services program of 25 to 40 staff undertaking interpretation/translation, transcription, and analysis services
  • Preferred: Bilingual in English/Spanish
  • Preferred: A strong knowledge of Microsoft Office Suite, Tableau

  • Effective communication skills; communicate effectively with multiple levels of management, external stakeholders, and customers.
  • Able to foster strong business relationships with employees, prime contractor, and the government
  • Foster a positive culture rooted in teamwork, accountability, and shared purpose.
  • Analytical skills and report writing experience.
  • Ability to multi-task; be observant and anticipate operational needs.
  • Must be accessible by mobile phone 24/7/365
  • Travel may be required to attend meetings, conferences, and training as required to fulfill the obligations and responsibilities of the position.

Clearance:

Security Requirements/Background Investigation Requirements: 

  • Must be a U.S Citizen or Legal Permanent Resident.
  • Favorable credit check for all cleared positions 
  • Successfully passing a background investigation including drug screening.

Physical Requirements/Working Conditions:

  • Standing/Walking/Mobility: Must have mobility to attend meetings with other managers and employees.
  • Climbing/Stooping/Kneeling: 10% of the time.
  • Lifting/Pulling/Pushing: 10%
  • Fingering/Grasping/Feeling: Must be able to write, type, and use a telephone system 100% of the time.
  • Sitting: Sitting for prolonged and extended periods of time.
