Job Description

The Position

The Senior Specialist is responsible for supporting the end-to-end management of Healthcare Professional (HCP) consulting and advisory engagements originating from the U.S. Headquarters as well as country level stakeholders (as required) within Global Medical Affairs and Commercial functions.

This role includes oversight of HCP contracting, Fair Market Value (FMV), meeting logistics, and honoraria management. The Senior Specialist will also provide comprehensive meeting planning support for global HCP engagements, coordinating closely with third-party meeting planning agencies and internal stakeholders to ensure seamless execution of all logistical aspects.

This position reports to the Director of the Healthcare Enablement Resources (HER) team and plays a key role in ensuring operational excellence, compliance, and consistency across global HCP engagements.

Responsibilities:

  • Support engagement owners with the HCP contracting and advisory contracting process, including nominations, FMV validation, contracting, and logistics.

  • Serve as the primary contact for engagement owners and external consultants (KOLs, thought leaders, and HCPs).

  • Lead the planning and logistical coordination for global HCP meetings and events, including advisory boards, consultancy meetings, and other expert engagements.

  • Partner with third-party vendors and travel agencies to manage HCP travel and accommodations, ensuring compliance with company policy and regional regulations.

  • Act as a process and system subject-matter expert for HCP engagement and contracting systems (e.g., Veeva, Concur), ensuring alignment with global and U.S. compliance standards.

  • Collaborate with cross-functional teams (Commercial, Medical Affairs, Compliance, Legal, Finance, and Travel, Meeting Card and Fleet) to ensure consistency and compliance across HCP activities.

  • Support the reconciliation of consulting spend and contribute to transparency reporting and compliance metrics.

  • Provide recommendations for process improvement, identifying efficiencies and simplification opportunities in planning and contracting workflows.

  • Assist in global harmonization initiatives, ensuring alignment of HCP engagement and meeting management processes across countries and regions.

  • Operational Excellence – demonstrates strong project management skills and attention to detail in planning, coordinating, and executing HCP meetings and events in compliance with company policies and regulator standards. 

  • Stakeholder and vendor collaboration – builds productive relationships with third party travel partners to ensure seamless logistic coordination and effective communication 

  • Compliance mindset – continuous identifies opportunities to enhance efficient, simply process and ensure consistent adherence to global compliance.


Qualifications :

  • Demonstrates accountability, ownership, and operational excellence.

  • Strong interpersonal, collaboration, and conflict-resolution skills.

  • Excellent project management and organizational abilities with proven experience in meeting planning and logistics coordination.

  • Strong written and verbal communication skills; able to build trusted relationships across all levels and functions.

  • Proficiency in Veeva, Concur, and HCP contracting and reconciliation processes is highly preferred.

  • Ability to manage through complexity and ambiguity with strong attention to detail.

  • Commitment to innovation, process improvement, and continuous learning.

  • Minimum of 5–7 years of biopharmaceutical industry experience, with at least 3 years in HCP engagement management, meeting planning, or related operations functions.

  • Experience working in compliance, medical affairs, or commercial operations is strongly preferred.

  • Prior experience coordinating travel logistics and vendor management for HCP engagements is a plus.

  • Bachelor’s degree required; concentration in a scientific, business, or applied discipline strongly preferred.

  • Advanced degree (e.g., MS, MBA) is a plus.
