Our headquarters is in Stamford, CT, but the location of this position can be flexible with priority given to candidates open to hybrid work (3 days week in office) in one of our office locations - - Stamford, CT, New York, NY, Charlotte, NC, Atlanta, GA, Chicago, IL, and Miami, FL. We will also consider a remote-based working arrangement for qualified candidates with East Coast working hours as a prerequisite.”

THE WORK YOU’LL DO

Octagon is looking for an experienced Staffing Manager to join a dynamic team, working with a global client with sponsorships of FIFA World Cup. This role is a unique opportunity to join our team.

The candidate must have relevant experience in hospitality program for major events, managing staffing and local suppliers. On behalf of our client, you’ll be responsible for planning, budgeting, scheduling and managing all local staff leading up to and during the event.

  • Liaise with staffing vendors and suppliers to hire local staff for various hospitality functions, including welcome desk, transportation hosts, hospitality spaces hosts, etc. to ensure all roles are filled with qualified personnel.
  • Oversee staff hiring, interviewing, and scheduling across 10+ cities at a time.
  • Oversee the relationship with the staffing supplier, ensuring they meet contractual obligations, provide professional staff, and maintain high-quality service standards.
  • Understand the staffing regulations for each state in the US and ensure we comply with the rules.
  • Coordinate accreditation needs and submission according to FIFA guidelines, ensure the communication is clear and adhere to the timelines for local staff and other hospitality team members
  • Manage all staffing logistics for the hospitality program, ensuring that the staff is punctual, professional, and adequately trained to perform their duties at each event or venue.
  • Develop, coordinate, and manage the creation of all training materials for staff, ensuring that materials are aligned with program goals and expectations.
  • Collect all details and manage the distribution of staff uniforms, ensuring that staff receive the appropriate attire and that uniforms are in good condition.
  • Ensure that all hired staff understand and adhere to the organization’s standards, including dress codes, customer service expectations, and safety protocols.
  • Review and approve staffing schedules and work assignments, ensuring the right number of staff are allocated to each event or task based on requirements.
  • Monitor staff performance during events and programs, ensuring compliance with established protocols and maintaining high standards of guest experience.
  • Ensure that shifts are correctly coordinated to meet the program's requirements and proactively resolve any scheduling conflicts or staff shortages.

Key Responsibilities Overall:

  • Supporting the Hospitality Lead in the management, administration and delivery of staffing.
  • Providing financial account support with client budget, contracts, invoicing, tracking, PO creation, and supplier payments.
  • Collaboration across multiple departments mainly focus on operations.
  • Regularly monitor supplier’s performance to ensure they meet agreed-upon service levels, including timelines, quality and guest satisfaction
  • Work with suppliers to resolve issues promptly, maintaining a high standard of guest experience.
  • Foster a positive working relationship with the vendor and team members, ensuring open lines of communication and collaborative problem-solving.

WHO WE’RE LOOKING FOR

  • Has experience in Staffing Management on major events or sports events
  • Has worked with staff agencies for hiring local hostesses
  • Patient, level-headed and cool under pressure
  • Has a flexible, ‘can-do’ attitude and can work some weekends
  • Has exceptional attention to detail, time management and organizational skills
  • Comfortable with a moderate amount of travel that will be required before the event, including nights and weekends when onsite
  • A focused and performance driven individual, who can think on their feet, use initiative and be comfortable working in a global environment, under pressure, and to tight deadlines but within a team environment
  • Enjoys working and being part of a big team
  • Must be able to remain in a stationary position at least 50% of the time
  • Flexibility and willingness to travel domestically, and work weekends or holidays as needed. Anticipated travel level: Moderate (20-45%)

L4: This position pays an annualized rate of $82,000, and is not overtime-eligible
