· FM Helpdesk: Monitor user inquiries and resolve outstanding requests via FM helpdesk email and hotline.
· Pantry Management: Check inventory and cleanliness. Supervise and review pantry team performance, services standard and equipment status.
· Facilities Condition Inspection: Perform regular inspections of the guest facing and crucial area. Report to the group chat for follow up action.
· Cleaning: Ensure cleanliness of office areas and restrooms and monitor the cleaning contractor’s performance.
· Vending Machine: Monitor the machine status & product condition. Address issues and arrange maintenance.
· People Management: Manage team members performance, provide coaching and refreshment training for team members and orientation for new joiners. Plan team member shifts to cover weekly and monthly recurring tasks.
· Procurement: Propose and source operation equipment. Coordinate with Procurement & Finance team for procurement process.
· Interdepartmental Liaison: Act as the point of contact between user departments, ensuring effective communication.
· Management and Coordination: Supervise daily operations including oversee daily tasks such as pantry management, office inspections, and cleaning services.
· Team Performance and Support: Conduct regular performance reviews for team members and provide support as needed.
· Facility and Vendor Coordination: Coordinate with vendors for maintenance services and negotiate contracts for supplies and equipment.
· Work Order Management: Assign technician/handymen/BMO/contractor/cleaner to handle the daily work order. Check the work completion.
· Compliance Management: Ensure it is adhering to regulatory requirements, internal policies, and industry standards.
· Fire Drill Coordination: Coordinate with BMOs including the fire warden training, plan and arrange resources including manning and equipment and execution on the day. Prepare presentation and material to fire wardens.
· Performance Review: Conduct performance evaluations for vendors, service providers and team members.

· Emergency Coordination: Lead emergency response efforts and manage coordination with BMO for urgent repairs or situations.
· Efficiency Analyst: Evaluate current processes for printing, copying, and inventory management. Recommend enhancements for efficiency and cost savings.
· CCTV & Access Control System: Monitoring CCTV system and all camera is in good condition. Assist Risk team to check CCTV footage and generate user footprint. Setup new access group & update schedule.
· BMO Coordination: Manage and coordinate urgent repairs for issues such as chiller water pipe leaks, fire water pipe leaks, fire equipment, washroom repairs, and lift arrangements. Report and address any tenant misbehavior, poor performance by BMO staff, cleanliness issues in washrooms, and delays in emergency response.
· Broadcast: Prepare broadcast for informing users when there is any urgent or planned work/arrangement which will impact users.
· Energy Audit: Follow up with HKE.
· Mailroom Operation: Assist in overseeing the daily functions of the mailroom at Devon House, ensuring efficient mail handling and distribution processes. Managing staff performance, ensuring compliance with security protocols and handling incidents.
· Signage Review: Ensure all signage meets regulatory standards, enhances wayfinding, and aligns with the client brand's identity.
