Senior Coordinator, TKO Brand Experiences

Overview 

The Brand Experiences team is passionate about building extraordinary events and experiences around the globe. We are known for our ability to think big while paying attention to the details that matter. This role will support the EMEA & APAC Corporate Events Team with the planning and execution of a calendar of Events that meet the needs and strategic objectives of the business.  

Key Responsibilities

  • Support the Corporate Events team with the planning and onsite delivery of a calendar of world-class events and experiences. Examples include Hospitality Activations, Industry Events, Owned and Partner Events.

  • Provide the team with operational support for each event – including monitoring ticket and invite lists, assisting with guest comms and queries, distributing tickets, updating rooming lists and confirming transport and accreditations.

  • Assist with financial reporting - including setting up suppliers as vendors, processing invoices, coordinating team expenses, and monitoring the status of all payments.

  • Opportunity to own smaller scale events, managing all stakeholders and pillars of the event from concept to delivery.

  • Manage updates for all internal reporting documents – including drafting agendas, meeting notes, and weekly statuses. Tracking the progress of event planning and keeping the team accountable on their deliverables, deadlines, and post event reporting.

  • Source and manage a comprehensive vendor database for the team to use across all events.

  • Manage our stock inventory for all branded items; ensuring we have all quantities of items ready for our calendar of events.

  • Cross-collaborate with the wider Communications and Marketing teams, including creative, digital and PR for all relevant event deliverables.

Experience & Knowledge

  • Experience in the Events/Hospitality industry.

  • Experience in administrative tasks, handling large amounts of complex information.

  • Experience working within a team and as an individual contributor.

  • Experience working with high profile guests, celebrities, and VIPs preferable.

  • Knowledge and proficiency in Google and Microsoft (excel, word, PPT and outlook).
