This position is eligible for a hybrid Flexible Work Arrangement (FWA), currently projected as three days on campus and two days remote each week. FWA arrangements are subject to manager approval and may shift due to changes in business needs.

Must be eligible to work in the US on a full-time basis for any employer without sponsorship.

Purpose

Academic Personnel Services (APS), within the Office of the Executive Vice President and Provost (EVPP), manages academic HR processes for faculty and other academic appointees across the full career lifecycle at The University of Texas at Austin. From appointments and promotions to retirements and beyond, APS ensures these processes are consistent, compliant, and supportive of the University’s mission.

This position serves as a senior business analyst dedicated to strengthening APS’s operational processes and systems, documentation, and data integrity. The analyst will collaborate with campus teams that manage ServiceNow, Workday, Interfolio, and other academic HR systems to streamline workflows and improve usability and consistency across platforms. They will also lead the development of accessible instructional documentation and training, expand APS’s online resources, and oversee data auditing and reporting for the academic employee population. By combining systems expertise with a focus on communication and continuous improvement, this position will help staff in colleges, schools, and units, as well as their leadership, navigate academic HR processes with confidence.

Responsibilities

  • Serve as APS liaison with the Enterprise Platform teams that support ServiceNow, Workday, Interfolio, and other academic HR systems, representing APS in discussions on functionality, process improvements, and user experience.
  • Analyze and document business requirements, process flows, and system interactions to identify opportunities for efficiency, automation, and consistency.
  • Lead or support testing of configuration changes, new features, and integrations across these systems to ensure accuracy and minimize disruptions.
  • Facilitate meetings and discussions with APS and EVPP staff, campus partners, and enterprise system teams to align requirements, monitor progress, and ensure clarity in decision-making.
  • Develop, maintain, and publish clear instructional and process documentation for APS staff and campus constituents; ensure APS websites and resources provide accessible, accurate guidance.
  • Provide training and guidance to APS staff on system functionality, process changes, and best practices.
  • Conduct regular data auditing and integrity checks for the academic employee population, identifying issues and partnering with campus stakeholders to resolve them.
  • Assist with fulfilling reporting requests related to the academic employee population, ensuring accuracy and compliance with institutional and regulatory requirements.
  • Collaborate with APS leadership and campus partners on continuous improvement initiatives to streamline academic HR processes and strengthen support for staff who manage these transactions across colleges, schools, and units.
  • Cross-train and serve as the functional backup to the Senior Business Analyst leading the Watermark faculty information system implementation effort on behalf of EVPP Faculty Affairs.

Required Qualifications

  • Bachelor’s degree with more than three years of experience performing the work of a business analyst for administrative systems, including requirements gathering, documentation, testing, and process improvement.
  • Experience managing automation or process improvement projects.
  • Knowledge of academic HR processes, approvals, and workflows in a higher education setting.
  • Demonstrated ability to analyze system functionality and document complex business processes.
  • Demonstrated experience facilitating meetings and leading discussions to gather requirements, align stakeholders, and move projects forward.
  • Strong written and verbal communication skills to engage varied audiences and deliver successful project outcomes.
  • Skilled in negotiation, project management, and guiding decision-making processes.
  • Experience with data auditing, validation, or quality assurance.
  • Experience developing training resources, process documentation, or web content for complex administrative processes.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Master’s degree with more than five years of experience performing the work of a business analyst for administrative systems.
  • Direct experience with ServiceNow, Workday, Interfolio, or other academic HR systems.
  • Deep knowledge of position management and academic employment processes at UT Austin or a comparable institution.
  • Experience with faculty affairs or HR administration in higher education.
  • Advanced skills in MS Excel for reporting and data analysis.

Salary Range

$80,000+ depending on qualifications
