Position Specific Responsibilities/Accountabilities
Provide traditional administrative support for the Academic Affairs budget office. Ability to analyze, organize, prioritize, setup and maintain filing systems, and prepare meeting agendas.
Prepare budget office communications including confidential memos and emails; format and update spreadsheets; ability to manage multiple projects and competing deadline.
Assist the budget office with the coordination of university processes, supplemental payment requests, budget requests, miscellaneous payments, budget change requests, processing invoices and expense reports.
Provide administrative support for Academic Affairs budget presentations, independent contractors, speaker agreements, facilities requests, and IT requests. Assist with other general administrative related activities as assigned.
Assist with preparation and distribution of standard reports, including quarterly variance reports, overtime reports, copier charge reports and process corrections and updates as needed.
Maintain and update spreadsheets and templates (annual general ledger spreadsheets, annual budget templates, etc.) Perform monthly reconciliation of expenses (identify discrepancies and submit reclassifications) for general office accounts.
Maintain and process annual divisional commitments, special funds, and transfers.
Assist with special projects and perform other duties as assigned or requested.
Perform other related duties.

Requisite Qualifications
Typically a bachelor’s degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of University and federal regulation/policy changes.
Four years of administrative support experience in progressively responsible positions.
Demonstrated computer competency and knowledge of Microsoft Office Professional suite, and Workday.
Excellent verbal, written, and interpersonal communication skills to communicate effectively and professionally with different constituencies including institutional partners, faculty, staff, and senior administrators.
Excellent attention to detail and accuracy.
Project coordination skills involving complex schedules and project deadlines.

Staff Temporary (Fixed Term)Salary range
