We are looking for a Senior Administrative Assistant to support the Chief Security and Chief Information Officers.  You will join our team in one of today’s most exciting technologies.  This role is based at our headquarters in San Jose, CA.  This is a fully on-site, in office role 5 days a week.

Role and Responsibilities:

  • Will provide high-level administrative and operational support such as calendar management, meeting coordination and travel arrangements.
  • Prepare correspondence, reports, presentations and meeting materials with accuracy and attention to detail.
  • Track and process invoices, purchase orders, and vendor contracts in collaboration with procurement and finance teams.
  • Assist in monitoring IT budgets and expenditures
  • Handle multiple tasks simultaneously including running business errands, scheduling meetings, invoicing/billing, meeting preparations, special projects and meeting event management.
  • Assist with the planning and preparation of meetings
  • Ensures that various administrative tasks are completed in an effective and efficient manner, including processing expense reports, purchase orders, keeping records, and organizing the administrative files.
  • Coordinates logistics for lunch and dinner meetings

Skills and Experience:

  • Must have worked in a corporate work environment supporting VP level leadership positions.
  • Has a collaborative work style, is very well organized; and effectively multi-tasks and prioritizes in a rapidly changing business environment
  • Experience managing complex global travel itineraries
  • Must have strong knowledge of MS Office Suite (Outlook Calendar, Excel, PPT)
  • Ability to accurately capture notes and action items and follow-up.
  • Must be detailed oriented.
  • Ability to prioritize work and balance several work streams at a time.
  • Ability to stay focused, flexible, efficient, and effective in managing multiple priorities.
  • Strong interpersonal skills and positive attitude.
  • Must have outstanding communication skills, act with professional discretion and good judgement.
  • The company will pay in accordance with local and federal wage and hour laws.

Education/Experience:

  • Minimum of 10+years of Administrative Assistant experience.
  • Minimum High School graduate

Physical Requirements:

  • Must be able to bend, lift up to 20 lbs. and walk for consecutive periods of time.

Salary Ranges:

$101,700.00 - $146,300.00
