Position Summary:
Responsible for maintaining effective communication with clients, internal and external, to promote and support the execution of successful events at ilani.
Primary Duties and Responsibilities:
Promotes superior guest service as a representative of the Sales and Convention Services Team.
Maintains, and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
Provides administrative and coordination of logistics for schedules and events.
Provides administrative and event support coordinating in-house meetings along with private public events as assigned.
Serve as liaison between ilani staff, event planners, and clients during events.
Creates internal materials for power points and assembles information packages.
Responds to sales inquiries about venues and services in a timely and appropriate manner.
Hosts property site tours with Sales Managers as needed.
Assists in executing events to create loyal and returning clients both on-site and off property.
Assists in preparing analysis documents and financial reports for Departmental leadership.
Builds, tracks, and manages all BEO’s and associated details, within event software (Delphi).
Coordinates and successfully executes internal meetings with all departments.
Qualifies opportunities as first point of contact for sales and special event team.
Promotes awareness of and represents brand image internally and externally.
Maintains confidentiality of sensitive information.
Performs other duties as assigned.
Minimum Qualifications:
Associate degree and/or minimum of two (2) years’ experience in administrative/coordinator positions or an equivalent combination of education and experience.
Minimum two (2) years’ experience in guest service and/or event coordination within a Hotel with Meeting Space, Event Center, or Convention Center.
Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
Ability and willingness to interact with the public in a highly professional manner.
Must demonstrate the ability to be a self-starter, with the ability to redirect priorities in an ever-changing environment. Must have the ability to manage multiple priorities.
Strong written and verbal skills.
Strong communication skills, including public speaking required.
Working knowledge of Microsoft Word and Excel.
Must have working knowledge of event software and processes.
Must be able to work various shifts, flexible hours including nights, weekends, and holidays.
Ability to lift and carry 40 lbs.
Must possess a valid Driver’s License.
Must be willing to work in a smoking environment.
Must be willing to adhere to company health and safety measures.
Preferred Qualifications:
Previous event/sales coordinator experience.
Experience with Delphi Event Software.
