A little bit about our team:
The Revenue & Growth Team works closely with Atlantic & Warner Records to drive Warner Music UK's commercial strategy. We are responsible for maximising revenue, creating commercial opportunities and driving audience growth across every consumption format, from global streaming platforms (e.g. Spotify, Apple Music, YouTube) to the physical retail supply chain (vinyl, CD, cassette). We use data-driven strategic insights and translate this into plans that deliver market share growth, ensuring our artists reach the broadest possible audience. We sit at the intersection of product, data, and commercial strategy, making us central to the success of every release.
Your role:
We are seeking a highly organised, proactive, and data-savvy Product Operations Coordinator to be the operational linchpin for our physical and streaming product setup at Warner Music UK.
This hybrid role bridges the traditional gap between digital distribution and physical product set-up. You will be responsible for ensuring the accurate, timely, and efficient execution of all release operational processes. A crucial element of this role is identifying opportunities to automate and streamline workflows, driving efficiency across the entire product lifecycle from initial setup to final reporting.
Here you’ll get to:
Cross-platform operations
Process efficiency: proactively audit existing operational workflows (asset management, reporting, scheduling) and propose/implement solutions to automate tasks, reduce errors, and increase speed.
Unified tracking: Develop and maintain a unified project management system (e.g., using shared databases or advanced spreadsheets) to track critical deadlines for both physical production (manufacturing, artwork approvals) and streaming/social pitching (metadata lock, DSP submission).
Administrative support: Provide essential administrative support to the Revenue & Growth team, managing shared trackers, scheduling cross-functional meetings, and managing related invoices/budgets.
Release schedule management: prepare the release schedules for physical and digital partners
Internal system expertise: Develop a knowledge of Warner delivery pipelines to help troubleshoot and resolve digital and physical product setup queries for all releases from UK labels
Physical Production & logistics coordination
Team liaison: Coordinate with the broader revenue team, label and retail partners to ensure that there is visibility of project status for physical formats (CD, Vinyl, Cassette).
Physical product set-up: work with labels and broader Revenue & Growth team to ensure that products are set up with correct metadata, pricing and assets ahead of launches. Collect all necessary physical assets for retail set-up (artwork specs, tracklists etc)
Inventory & logistics: Assist with inventory management, tracking stock levels in central databases, coordinating reorders, and supporting shipping logistics to warehouses and retailers (domestic and international).
Quality control & delivery: Gather, quality check (QC), and manage all required digital assets (audio files, high-res artwork, video assets, metadata) to support a physical release. Ensuring timely and accurate delivery to our retail partners, and test on retailer channels for accuracy.
Web portal maintenance: ownership of web portal for product set-up, including maintenance of user logins, setting up new accounts and resetting passwords
Streaming & digital asset management
Digital asset QC & delivery: Gather, quality check (QC), and manage all required digital assets (audio files, high-res artwork, video assets, metadata) ensuring timely and accurate delivery to our distribution partners and Digital Service Providers (DSPs).
Streaming pitching support: Assist the Platform Marketing Managers with administrative tasks related to editorial pitching preparation. This includes gathering compelling data points, preparing platform-specific pitch materials, and ensuring release submissions are accurately entered into partner Content Management Systems (CMS).
Reporting support: Compile and summarise weekly streaming performance data (audience growth, playlist performance, chart activity) into clear reports to inform the Platform Marketing team.
Platform Optimisation: Support the team by ensuring all artist profiles on DSPs are optimised and that internal teams are educated on the latest platform best practices for audience growth.
About you:
We are looking for a highly organised individual ready to support a dynamic team in a fast-moving industry.
Proven experience in an administrative, coordination, or operational role within the music, entertainment, or supply chain industries.
High proficiency in Microsoft Excel/Google Sheets (e.g., pivot tables, advanced formulas) for data management, reporting, and scheduling.
Familiarity with partner Content Management Systems (CMS) and pitching platforms (e.g., Spotify for Artists, Apple Music for Artists/Partner Program, or similar label-side distribution portals).
Demonstrated ability to identify and implement process improvements or automation techniques in previous roles.
Excellent project management and organisational skills with the ability to manage multiple complex deadlines simultaneously.
We’d love it if you also had:
Familiarity with digital distribution systems (metadata management) and/or physical production logistics.
Experience working with data visualisation or Business Intelligence (BI) tools (e.g., Tableau, Google Data Studio, or similar).
A proactive, solution-oriented mindset with strong written and verbal communication skills.
