Position Summary:

The Residency Program Coordinator supports the daily administrative and operational functions of Backpack Health’s Clinical Residency Program under the supervision of the Manager of the Residency Program. This role ensures that the residency program runs efficiently and in alignment with organizational, state, and accreditation standards.

The Coordinator is responsible for organizing schedules, tracking supervision and training hours, maintaining documentation, and assisting with communication among residents, supervisors, academic partners, and clinical leadership. The position plays a vital role in ensuring that all program activities are well-coordinated, compliant with licensure and CARF requirements, and supportive of residents’ professional development.

This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced behavioral health setting serving youth and families through school-based and telehealth programs.

Essential Job Functions:

  • Administrative Coordination: Supports the daily administrative functions of the Residency Program under the direction of the Manager of the Residency Program to ensure smooth and efficient operations.
  • Onboarding and Orientation: Coordinates and facilitates onboarding and orientation activities for new residents and interns, including teaching designated sections of the orientation curriculum, ensuring all required documentation, system access, and initial training components are completed accurately and on time.
  • Documentation and Record Management: Maintains accurate, organized, and confidential records of supervision sessions, training attendance, licensure tracking, and performance evaluations in accordance with Backpack Health and CARF standards.
  • Scheduling and Communication: Manages calendars, schedules meetings, and facilitates communication between residents, supervisors, and leadership to ensure timely and effective information flow.
  • Compliance and Accreditation Support: Assists in maintaining compliance with accreditation standards (CARF), state licensure requirements, and internal policies through documentation audits, data tracking, and reporting.
  • Training and Event Coordination: Supports the planning, logistics, and tracking of residency training, workshops, and educational activities, including managing attendance and evaluation data.
  • Data Tracking and Reporting: Monitors key program indicators such as supervision completion, training participation, and licensure progress; prepares summary reports for leadership review.
  • Resident and Supervisor Support: Serves as a central administrative point of contact for residents and supervisors, assisting with scheduling, documentation, and procedural guidance.
  • Cross-Department Collaboration: Collaborates with departments such as Clinical Operations, Human Resources, and Quality & Compliance to support program alignment and problem resolution.
  • Continuous Improvement: Participates in quality improvement activities, offering feedback and support for process enhancements that strengthen residency program efficiency and compliance.
  • Clinical Service Delivery: Maintains a small active caseload and provides direct therapy services in accordance with Backpack Health’s clinical standards, documentation requirements, and CARF guidelines, ensuring quality, person-centered care for assigned clients.

Clinical Service Delivery:

  • Documentation timeliness = > 90% of clinical notes completed within 24 hours
  • Treatment Plan Compliance = 100% of active clients have up-to-date treatment plans
  • Productivity = > 15 completed care hours per week
  • Completion Rate = > 70%
  • Patient Retention = ≥ 75% client engagement rate (3+visits with the same clinician)
  • Clinical Quality = ≥ 90% satisfactory score on peer/QA chart reviews 

Program Coordination:

  • Onboarding & Orientation - 100% of new residents/interns onboarded, oriented, and prepared to work day 1 with all required documentation completed
  • Documentation Accuracy - ≥ 95% accuracy in maintaining supervision and training records (no missing or outdated files)
  • Timeliness of Communication - Responses to resident/supervisor inquiries within 2 business days
  • Training Coordination = ≥ 90% of residency trainings and supervision sessions scheduled and completed as planned
  • Reporting Accuracy = Residency program reports submitted by established deadlines with <2% error rate

  • Compliance & Quality: Adheres to all legal, ethical, and organizational policies and supports continuous quality improvement initiatives.
  • Cultural Competence: Promotes diversity, equity, and inclusion in all aspects of program coordination and clinical care.
  • Adaptability: Remains flexible, proactive, and solutions-focused in a dynamic behavioral health environment.

Position Qualifications:

  • Master’s degree in Social Work, Counseling, Psychology, or a related behavioral health field (required).
  • Active clinical licensure or eligibility for licensure in the state of practice (e.g., LMSW, LGPC, LCSW, LCPC, or equivalent) — required for providing therapy services.
  • Minimum of 2 years of experience in behavioral health, including direct clinical service delivery (assessment, treatment planning, and psychotherapy).
  • Experience with administrative coordination or residency/internship program support preferred.
  • Working knowledge of CARF standards, Medicaid documentation, and state-specific licensure requirements.
  • Strong organizational, communication, and multitasking skills with the ability to balance administrative and clinical responsibilities.
  • Proficiency in electronic health records (EHR), data tracking systems, and Microsoft or Google Workspace applications.
  • Ability to work both independently and collaboratively in a hybrid or virtual behavioral health environment.
