About the Role

As a Recruiting Coordinator, you’ll play a key role in building the teams that bring our vision to life. You’ll partner closely with recruiters, hiring managers, and interviewers to deliver a seamless, thoughtful, and efficient hiring process. This is a high-impact role for someone who loves connecting with people, creating structure in fast-moving environments, and ensuring every candidate interaction reflects care and excellence.

This position is based in Palo Alto and requires being in-office five days a week.

What You’ll Do

  • Schedule and coordinate interviews (virtual and onsite), managing all logistics with precision and warmth.
  • Own end-to-end candidate communication to ensure a smooth, transparent, and positive experience.
  • Oversee onsite and virtual interview logistics—including candidate arrival, workspace setup, and post-interview wrap-up.
  • Partner with recruiters and hiring managers to understand hiring needs and priorities across multiple teams.
  • Own, build out, and maintain our ModernLoop platform—driving consistent workflows, automations, and best practices as we scale.
  • Oversee our interviewer shadow program, coordinating logistics, tracking progress, and ensuring interviewers are trained and supported before hitting the ground running.
  • Support team-wide recruiting initiatives, projects, and employer branding efforts.

About You

  • 2+ years of experience as a Recruiting Coordinator or similar role, ideally in a high-growth startup or tech environment.
  • Familiarity with ATS platforms (Greenhouse preferred), scheduling platforms (ModernLoop preferred), and other recruiting tools like CoderPad, Gem and LinkedIn Recruiter.
  • Proven ability to manage complex scheduling, competing priorities, and fast-changing contexts with accuracy and calm.
  • Excellent communicator—your messages are clear, professional, and warm.
  • Highly organized, detail-obsessed, and proactive in solving problems before they escalate.
  • Collaborative and approachable—you build trust with candidates, interviewers, and teammates alike.
  • Energized by creating order, improving systems, and contributing to a strong team culture.
  • Comfortable with ambiguity and change—you adapt quickly and find ways to move things forward.
