Purchasing Officer and Engineering Administrator

Responsibilities / Tasks

1) Purchasing:

  • Coordinates all activities related to procurement, beginning with intent to purchase, through delivery.
  • Analyze the requirements of the commodity, including preliminary specifications, preferred supplier, and date commodities are required.
  • Solicits and evaluates proposals for the requested commodity.
  • Advises team members on the appropriate supplier to be used.
  • Negotiates the lowest possible cost for the commodity balanced against the optimum quality and schedule needs.
  • Assures that the commodity is delivered on schedule, at the negotiated price, and meets the quality standards of the company.
  • Maintains timely control of orders, amendments, and other documents to assure accurate retention of records.

2) Engineering Administration:

  • Ensure material certificates are supplied.
  • Create data packs required for contractors to manufacture pressure vessels.
  • Liaise with the pressure vessel inspectors (AIA).
  • Follow up on the drawing design appraisals.
  • Issue material certificates.
  • Complete all pressure vessel data books.
  • Ensure welders qualifications and welder procedures are up to date.
  • Creating and issuing of Certificates of Manufacture for all pressure vessels.
  • Completion of documentation for all imported pressure vessels.

3) Additional Duties:

  • Monitor and manage all open purchase orders for the manufacturing workshop.
  • Ensure that purchase orders are received on Axapta after delivery has been received.
  • Request outstanding Invoices from suppliers
  • Ensure that all purchase orders are in invoice status timeously to ensure that creditors are paid according to agreed terms.
  • Handling all creditor-related queries.
  • Completing applications for new vendors.
  • Completion of credit application forms of vendors.
  • Posting manufacturing items to stock.
  • Checking manufacturing margins.
  • Returning components incorrectly delivered.
  • Ordering consumables for the workshop.
  • Complete transfer journals for the picking of stock required for projects.

Your Profile / Qualifications

  • 5-10 years’ experience in purchasing and engineering administration.
  • AXAPTA experience would be advantageous.
  • General MS Office proficiency
  • Good communication skills.
  • Planning & organizing skills.
