Job Description:

Purchasing Assistant   DAS – Enterprise Asset Management 

Join Enterprise Asset Management (EAM) and support the teams that keep Oregon’s state facilities running smoothly!  

As the Purchasing Assistant, you’ll play a key role as administrative and clerical support that keeps our Operations and Maintenance Division moving. You’ll work with staff, vendors, and financial units to make sure purchases are processed efficiently and accurately. 

What You’ll Do

  • Receive, sort, and review invoices from vendors. Compare vendor invoices against shipping documents to ensure correct statement amounts and process invoice for payment.

  • Prepare and produce purchasing documents from submitted purchase requests, using the State accounting system, US Bank Access online, and Tririga.

  • Review purchase requests and work tasks for completeness of product information, accuracy of funding sources, pricing, and coding. 

  • Weekly data entry and month end statement close for all Trade Services Field Staff SPOTS purchases.

  • Research purchasing archives for history of purchases.

  • Operate forklifts and pallet jacks to move supplies and equipment.

This Is What You Need to Qualify

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR

  • An associate degree in any field; OR

  • An equivalent combination of education and experience.

The ideal candidate will possess the following desired skills and attributes:

  • Knowledge and understanding of accounting systems to research and process invoice payments.

  • Proficiency with Microsoft Office Suite and related software tools. (e.g.: Adobe Acrobat, Web browsers)

  • Maintain confidentiality about agency matters and other sensitive issues.

  • Ability to occasionally lift and carry supplies weighing 25 pounds maximum.

  • Ability to operate forklift and pallet jack for unloading and warehousing supplies, as needed.

  • Strong attention to detail and accuracy. 

  • Excellent customer service skills. 

  • Clear communication skills, both written and verbal.
