What’s the role
The Proximate Visa and Immigration team in Qatar Shell provides support to more than 1,400 employees and their eligible family members across various employment categories and terms.
The Proximate Visa and Immigration Advisor is responsible for delivering high-quality support/advisory to HR Policy & Services team as well as the business with end to end transactional and operational Visa & Immigration activities in co-operation with the offshore teams in Malaysia and other departments in Qatar Shell.
What you’ll be doing
You will support, advice and expertise on visa & immigration related queries and delivers a high-quality customer service to Qatar Shell employees. More specifically:
Manage visa and immigration applications (online/manual) for work, business, official visas, QIDs, medicals, fingerprints, exit permits, Hamad Medical Cards, labour contracts/cards, company letters, NOCs, etc., including submission and collection from government offices.
Deliver immigration induction sessions for new joiners and handle offboarding for leavers.
Prepare Arabic application forms and letters for visa and immigration processes.
Maintain and update the Visa & Immigration tracker/database to ensure accuracy and compliance.
Schedule appointments and arrange services for QIDs and related requirements.
Monitor functional inbox and queries, reviewing and acting promptly.
Track and analyze visa quotas to ensure availability for new hires and business visitors.
Handle visa and immigration-related expenses end-to-end.
Provide after-hours on-call support for urgent immigration matters (e.g., traffic incidents, emergencies).
Support legal/government relations in renewing commercial registration, licenses, and establishment cards, and liaise with government departments while staying updated on legislation changes.
Process transactional requests accurately and within established timelines, in accordance with standardized procedures.
Liaise with relevant government departments (Immigration, Ministry of Labour, Traffic, Hamad Medical, CID, etc.) to ensure efficient and timely processing of applications.
Stay updated on any changes to immigration legislation and procedures and keep the Team Lead informed to ensure ongoing compliance.
Build and maintain strong working relationships with key contacts in all relevant government departments.
What you bring
This role is ideal for early-mid level professionals with a Bachelor’s Degree. Moreover, you will have:
Minimum 5 years of work experience as Public Relations Officer (PRO) in Qatar; in-depth knowledge of Qatar Visa Immigration and Labour law.
Excellent communication skills in both Arabic and English (oral and written).
Proficiency in Microsoft Office applications (Word, Excel, Outlook).
High integrity and credibility with strong problem-solving, customer service, and interpersonal skills.
Ability to manage multiple tasks and competing priorities effectively in a fast-paced, continuously changing environment.
Flexibility and adaptability, including willingness to work outside regular hours or weekends when required.
Strong collaboration and stakeholder management, maintaining professional interaction across diverse teams and cultural backgrounds.
On-site presence requirement: Must work one day per week at Qatar Shell’s Ras Laffan site.
