The listed minimum pay reflects compensation for a full-time equivalent (1.0 FTE) position. Actual compensation may differ depending on assigned hours and position status (e.g., part-time).

Position Overview

SUMMARY (Basic Purpose of the Job)

Supports the day to day functions of the property management division. Acts as the liaison between tenants, landlords and other Capital Health departments for certain property and lease related issues as well as oversees repairs and maintenance of the client property to provide excellent customer service. Works directly with Accounts and Supply Chain to ensure accuracy of financial transactions and provides assistance to customer ledger inquiries.

MINIMUM REQUIREMENTS

Education:       Associate's degree or equivalent experience; Current Driver's License with an acceptable driving record.

Experience:     Three years property coordination experience inclusive of knowledge of commercial property leases, work order systems, property maintenance, and Office Relocations.

Other Credentials:     Drivers License

Knowledge and Skills:              Knowledge of procurement procedures. Strong attention to detail; Possesses excellent organizational, interpersonal, conflict resolution, and verbal and written communication skills.

Special Training:          Proficient with Microsoft Office Suite with an emphasize on Word, Excel and Outlook. Data entry applications.

ESSENTIAL FUNCTIONS

•             Coordinates and completes repair/request work orders based on information from tenants/Capital Health staff located at various Capital Health locations or based on information gathered from site visits. Maintains request work order logs and quarterly/annual required inspections.

•             Drafts communication/makes phone calls to Tenants related to lease issues and/or preventive maintenance scheduling, rent collection, move coordination, repair coordination.

•             Coordinates with outside vendors/contractors to access properties for repair and/or scheduled visits. Places timely orders with vendors/contractors. Reviews accurately invoices for proper charges, resolves invoice and purchase order discrepancies timely with CH Accounts Payable and Supply Chain Management.

•             Liaisons with appropriate Capital Health departments for ordering/procurement, insurance requirements, security access, Financial/lease/property management database. Maintains list of emergency contact information for each Capital Health site and distribute to appropriate Capital Health Departments.

•             Maintains appropriate preventative maintenance calendars and tracking critical dates within leases. Schedules quarterly/annual testing for required inspections.

•             Participates in performance of all necessary functions to facilitate tenant/Capital Health departments "move in" and "move out" procedures as well as relocations and expansions

•             At the direction of the Project/Property Manager, visits managed properties to perform or assist in performance of management duties as well as office support and on-call emergency response. Participates in Department meetings and other inter-departmental and vendor meetings as needed.

•             Performs other duties as needed.
