SUMMARY/SCOPE OF POSITION:

A Project Coordinator processes orders for materials, product or services at the direction of a Project Manager or from direct customer contact. You maintain the project status during the entire phase of the project including planning, control, execution, shipment and invoicing. You maintain customer records with sales contracts and other information. Also, you will give price quotations, completes order sheets and check the price and quantity of each item listed. Lastly, you must coordinate order details with multiple personnel and departments and potentially resolve matters regarding order status, shipping dates, prices, product availability and back orders.

You will report to the Global Business manager.

ESSENTIAL FUNCTIONS:

  • Functional
    • Work on moderate to complex projects or job assignments
    • Process business system transactions and support orders / invoices as needed.
    • Apply Project Management responsibilities such as customer interface and project schedule maintenance
    • Manage execution of low-risk projects
    • Gather and summarize data to support orders, budget, and schedule forecasting for projects and for overall business team.
    • Participate in use planning, tracking, and exception reporting.
    • Perform material tracking, shipping / receiving functions.
    • Coordinate assignment of deliverables based on guidelines.
    • Review and maintain shared outlook mailboxes.
    • Other tasks and reports required to support the business.

  • Interpersonal
    • Frequently work with peers and customers to exchange or present information
    • Work with customer and vendor personnel to assure project progress to meet customer requirements.
    • Interact with project management, engineering, assembly, purchasing, and finance personnel in a multiple project team environment.

  • Business
    • Respond with urgency to internal and external customer requests for information.
    • Monitor timeliness of customer invoicing and payment.
    • Meet schedule, project administration hours and customer satisfaction targets for own activities in support of the project team.
    • Personal commitment to excellence in every aspect of the business with an uncompromising stance on ethics and transparency, internally and externally

QUALIFICATIONS:

  • Minimum
    • Customer related experience required.
      • Minimally 2 years of experience
    • Bachelor of Science degree in Business, Engineering, Operations or Project Management
    • Related experience in a project-oriented environment.
    • Experienced in the of software tools.
