Job Description Summary

The Project Coordinator plays a key role in facilitating efficient workflow across the design team by providing expert project coordination. This position collaborates closely with the Marketing Operations Manager and the Graphic and Production Design teams to manage marketing assets, creative briefs, schedules, milestones, revisions, and quality reviews. Serving as a liaison between the Manila-based team and Americas-based project contacts, the coordinator ensures clear and timely communication using project management tools. While not required to perform desktop publishing, the role may involve occasional file updates in Adobe InDesign or Microsoft O360 to support process efficiency. Strong communication across time zones and attention to detail are essential to delivering high-quality outcomes.

About the Role:

  • Collaborate closely with the Marketing Operations Manager to support project intake, coordination, traffic management, and issue escalation, ensuring timely updates.
  • Oversee project tracking and milestone management across multiple design teams, maintaining alignment with service level agreements and delivery timelines.
  • Promote and manage the use of project management software to enable real-time status visibility, clean data collection, and actionable analytics for workflow improvement.
  • Ensure designers have the necessary assets and information to complete projects, assisting in sourcing missing materials and maintaining organized project folders.
  • Communicate effectively with Americas-based partners across time zones, perform light file edits when needed, and conduct quality control reviews to ensure accurate final deliverables.

About You:

  • Bachelor’s degree with 2–3+ years of experience in marketing project coordination or traffic management, preferably within commercial real estate.
  • Proficiency in Microsoft O360 and familiarity with Adobe Creative Suite (especially InDesign); experience with project management tools is highly desirable.
  • Strong communication and collaboration skills, with a proactive, solutions-oriented mindset and the ability to thrive in both independent and team settings.
