Job Description

What This Job Involves

Coordination of the performance and governance of complex and multi-discipline GRE projects. The role is responsible for ensuring all projects (large and small, planned or unplanned) stay on time, on budget, and ensure the right stakeholders are engaged throughout the process.

  • Responsible for supporting Cluster Head with project execution across the real estate life-cycle within the sub-region
  • Ensure that all projects have a developed project plan and resource needs with management to assign/obtain needed resources for project success.
  • Advise on basic project management approaches and tools, provide project management toolkit for projects as required.
  • Deliver effective PgMO process management to all interested parties.
  • Continuously review the scope, schedule, cost, safety, and quality of assigned projects
  • Reinforce identified facility standards (i.e., facilities, safety, security, energy efficiency, space, FFE, etc.)
  • Ensure change control procedures are in place, and actively used, to assess the effect of changes to the projects on costs, timescale and/or resource needs and report these to project sponsors.
  • Ensure compliance with agreed PM methodology, standards, policies and procedures to ensure strong governance, sharing knowledge and providing feedback and ideas so that performance is continually improved.
  • Conduct portfolio analysis to help address or accommodate project requests and business needs are met
  • Conduct utilisation and headcount analysis, including workspace requirements and seat supply studies to ensure occupancy levels are well understood and actively reported and managed
  • Support strategic initiatives through preparation of strategy documents, project coordination, and delivery oversight.
  • Manage client Capital Planning systems in coordination with delivery and finance teams for comprehensive capital planning
  • Utilize and drive adoption of systems and processes to enhance GRE operational efficiency
  • Coordinate communications with GRE Functional teams and project teams on project status

Client Management – coordinate strategy and provide regular communication on activity

Portfolio Management and Transactions – ensure the team has the project

Finance – ensure the team is aware of project estimates and budget-to-actual impact 

Desired Skills and Experience

  • Experience of planning, controlling, monitoring and reporting on the delivery of projects
  • Advanced skills in MS Office suite, including MS Visio, Excel, Word, PowerPoint and Project.
  • Detail oriented with strong analytical and problem-solving skills
  • Excellent organisation and time management skills with a great attention to detail
  • Strong written and verbal communication skills. Able to articulate multi-faceted initiatives to a wide stakeholder group.
  • Ability to work in an international, highly matrixed environment with a high number of stakeholders
  • Ability to be forward thinking, flexible, able to visualize and execute on ideas, strategically minded with tactical appreciation
