Job Description Summary
The People Shared Services Admin will support the People Experience team by handling administrative tasks across the employee lifecycle, including onboarding, offboarding, interview coordination, payroll and benefits support, and maintaining employee records. The role will also assist with audits, policy updates, and ad-hoc projects to ensure smooth and efficient HR operations.
Let’s talk about responsibilities
Provide administrative support to the People Shared Services function and assist with urgent requests as needed.
Manage employment lifecycle processes, including preparation of contracts, documentation, personal file updates, and stamping duties in compliance with statutory requirements.
Maintain accurate employee records in Workday and ensure data integrity.
Coordinate and schedule interviews for candidates and hiring managers, both face-to-face and virtual.
Support payroll and benefits administration through timely and accurate data entry when required.
Assist in updating and maintaining HR policies, standard operating procedures (SOPs), and internal reference materials.
Contribute to HR transition activities in areas such as Talent Acquisition, Global Mobility, and Compensation when required.
Support internal and external HR audits, process improvement initiatives, and ad-hoc projects led by the People Experience team.
Let’s talk about Qualifications and Experience
Preferred:
Diploma or Bachelor’s Degree in Human Resources, Business Administration, or a related field (or equivalent experience).
Prior experience in HR administration, shared services, or general office administration is preferred.
Strong organizational and multitasking skills, with the ability to meet deadlines and manage competing priorities.
Attention to detail and accuracy, especially in handling contracts, employee data, and compliance-related tasks.
Good communication and interpersonal skills, with the ability to work effectively with candidates, employees, and managers.
Proficiency in Microsoft Office
Experience with Workday or another HRIS is an advantage.
Ability to handle sensitive information with confidentiality and professionalism.
A proactive, adaptable, and collaborative team player with a problem-solving mindset.
Flexibility to support ad-hoc HR or administrative tasks when required.
