The Arc Institute is a new scientific institution conducting curiosity-driven basic science and technology development to understand and treat complex human diseases. Headquartered in Palo Alto, California, Arc is an independent research organization founded on the belief that many important research programs will be enabled by new institutional models. Arc operates in partnership with Stanford University, UCSF, and UC Berkeley.
While the prevailing university research model has yielded many tremendous successes, we believe in the importance of institutional experimentation as a way to make progress. These include:
- Funding: Arc fully funds Core Investigators’ (PIs’) research groups, liberating scientists from the typical constraints of project-based external grants.
- Technology: Biomedical research has become increasingly dependent on complex tooling. Arc Technology Centers develop, optimize, and deploy rapidly advancing experimental and computational technologies in collaboration with Core Investigators.

About the position:
As People Operations & Systems Manager, you’re the person the team relies on to ensure everything runs smoothly behind the scenes. An expert steward of our technology stack and a key facilitator of all elements of the employee experience, you're not simply managing systems; you'll be running the infrastructure that enables our people strategy to come to life.

In this position you will:
- Systems: Support all People team systems by optimizing use, managing integrations between systems, supporting users in the platforms, owning vendor relationships, and managing renewals. If someone has a question about one of our systems, you are the go-to person.
- HRIS - Create and maintain flows and tasks for employee changes in our HRIS, maintaining all personnel data with a high level of data integrity. Create dashboards and ad-hoc reporting for the People team and cross functional partners. Support People Programs in building out surveys and review cycles within our HRIS.
- ATS - Own and manage ATS integrations to other tools. Update dashboards and work with the Head of Talent Acquisition on reporting needs as well as system workflows and processes across teams.
- LMS - Ensure training is being assigned and completed by individuals year-round. Support the creation of any new trainings and regular refresh of existing trainings. Manage automations and learning paths.
- Ticketing System - Build and manage Arc’s first ticketing system for the People team in partnership with IT, Facilities, and Scientific Operations/EH&S. Identify and build use cases with an eye towards self-service and automation.
- Identify and support implementation of new systems as needs arise.
- Employee Lifecycle and Process: Support the People Team in various aspects of compliance and employee lifecycle management.
- Documentation: Maintain templates for all documents (offer letters, promotion letters, compensation change letters, VOEs, etc.) in conjunction with our Legal team. Create, distribute, and file letters and documentation as needed.
- Worker’s Compensation: Manage worker’s compensation program in collaboration with the EH&S team to file claims and interface with the insurance agency.
- Compliance: Manage annual compliance and reporting items such as ACA, EEO-1, training renewals, and handbook updates as required.
- LOAs and Accommodation: Work with People Partners to administer leaves of absences and accommodation processes.

Requirements
- 5-7 years of experience in People Operations and Systems.
- Experience with system improvement and implementation.
- Familiarity with California compliance requirements.
- Highly collaborative with great communication skills.
- High level of attention to detail. Uncompromising on data integrity.
- Practical problem solver capable of managing complex issues to resolution.
Preferred Qualifications:
- Experience with HiBob, Greenhouse, Gem, Freshservice

The base salary range for this position is $107,250-$132,250. These amounts reflect the range of base salary that the Institute reasonably would expect to pay a new hire or internal candidate for this position. The actual base compensation paid to any individual for this position may vary depending on factors such as experience, market conditions, education/training, skill level, and whether the compensation is internally equitable, and does not include bonuses, commissions, differential pay, other forms of compensation, or benefits. This position is also eligible to receive an annual discretionary bonus, with the amount dependent on individual and institute performance factors.
