Position Information
The Aurora Fox Theater is looking for a Patron Services Manager to design, develop, coordinate, and implement the Fox patron experience inclusive of ticketing, front of house supervision, house management, liquor policies, concessions, and volunteer ushering; Assists with other marketing projects; coordinates special events.
PRIMARY DUTIES & RESPONSIBILITIES
Patron experience
Responsible for all points of contact with patrons, donors, groups and guests from sale through onsite experience and post-show communication, ensuring a seamless, enjoyable experience from start to finish for all public events at the Aurora Fox.
Acts as house manager for most performances. In consultation with the Executive Producer, may delegate some performances to part-time staff depending on their experience and availability.
Helps to develop and execute special events.
Oversees patron facing facility needs including communication with maintenance, parking, janitorial and scheduling of security.
Oversees concessions and onsite ticket sales including stock, policies, and staffing.
Develop and maintain relationships with longtime patrons, season ticket holders, donors, and stakeholders.
Liaise with House Manager, Executive Producer, Marketing Director and others regarding press seats, house seats, and guest allocations, and special guests.
Direct the safe movement of patrons under normal circumstances AND in the event of emergency such as severe weather, fire etc.
With Executive Producer, Fox Team and Library and Cultural Services Operations Manager, craft emergency procedures, monitor security footage, and liaise with street teams, homeless outreach, Access Aurora, Facilities & APD Maintain and communicate and practice emergency procedures
Ensure that the theater is accessible to all people with disabilities or special needs and maintain a working knowledge of ADA and accessibility guidelines.
Acts as the primary point of communication to patrons in the event of changes due to weather, emergency, or other unforeseen circumstances.
Staff/volunteers/security
Recruits, trains, and supervises part-time front of house staff for concessions sales, ticket sales, and house management.
Manage and rotate staff and take responsibility for the well-being of the team
Recruits, maintains, and develops training protocols for volunteer ushers.
Schedules and oversees on-site security for all public events and communicates with library security regarding any incidents outside of these events.
Develop, train and maintain concessions and liquor sales policies and processes in alignment with proper food safety guidelines, and maintain the Fox’s liquor license including any changes for special events.
Assist in developing and maintaining staff training on emergency preparedness and evacuation policies.
Ticket sales/ticketing platform
Acts as the primary point of communication for the Fox’s ticketing platform, ThunderTix
Participates in review and selection of ticketing platforms when appropriate.
Acts as the primary box office attendant during scheduled office hours. These duties can be assisted by admin staff or part time staff during scheduled time off in order to maintain consistent box office open hours.
Responsible for programming all ticketed events within the ticketing platform, ensuring accurate and up to date pricing, fees, discount programs, and seating charts.
Ensure that up-to-date information on all public events is available to staff and on the Fox website and ticketing platform
Coordinate all special arrangements for group purchases, season tickets, comp tickets, and vouchers
Reporting and Data
Verify cash and credit receipts, complete daily reports to finance, maintain financial records from ticketing, donations, and concessions, and make deposits.
Create, maintain, and distribute ticketing reports for events from on-sale date through closing.
Complete all box office reports, reconciliations and audits, including, but not limited to annual reports for City Council, SCFD, granting organizations, and an annual internal audit.
Maintain a list of active donors and provide receipts for donations.
Work with the department’s marketing team to generate data that will provide insights that help grow and retain audiences and improve sales results
Maintain a clean, up to date database and mailing list of patrons, donors and groups, with attention given to interests and purchase patterns, while maintaining PCI compliance and privacy standards.
Maintain and improve analysis and reporting procedures of sales, contributions, and attendance figures
Maintain reporting of concessions and liquor sales and inventory
Other Duties
Acquire and organize concessions stock between events.
Work closely with Executive Producer and Production Manager to expand and manage ancillary bookings
Could be asked to serve on the City's volunteer managers committee or other city-wide committees
Conducts ticket sales for outside organizations
Helms long term special projects as assigned
Other duties as assigned
MINIMUM QUALIFICATIONS & WORKING CONDITIONS
An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
Education:
High School Diploma or GED
Bachelor’s degree in theatre, other fine or performing arts discipline, or business preferred
Experience:
At least 4 years’ experience in managing customer relations with a background in event and facility coordination
At least 1 year of experience in a supervisory role
Marketing and/or performing arts experience preferred
Prior bartending experience is not required;
Some experience in the food-service industry or working as concessions staff in a theater or performance venue is preferred
Skills:
Strong interpersonal skills, customer relations, planning, and organizational skills
Strong organizational and time management, problem solving, communications and teamwork skills
Skills in the use of computer equipment with a working knowledge of Microsoft Word, Excel, Outlook, Access, and ticket office software and hardware
Knowledge:
Knowledge of program development and administration; budgeting and event planning; and volunteer management
Knowledge of personal computer software that includes word processing, database, and spreadsheet software applications to be used to input sales, maintain mailing list, reports, scheduling, and track inventory
Knowledge of simple accounting and record procedures to track and input sales, complete box office reconciliation, conduct audits, cash handling procedures
Knowledge of online ticketing systems, particularly ThunderTix, is preferred
Abilities:
The ability to provide outstanding customer service is a must
Ability to manage multiple projects simultaneously
Communicate effectively both verbally and in writing
Develop, design, coordinate, implement and conduct services for clients and patrons
Establish and maintain effective working relationships with employees, patrons, citizens, and other theater professionals
Handle sensitive or stressful situations with tact and diplomacy
Make informal presentations
Oversee and coordinate work of employees and volunteers
Able to make quick adjustments and judgments
Work flex hours including nights and week-ends as needed
Licenses and Certifications Required:
Maintain reporting of concessions and liquor sales and inventory
WORKING CONDITIONS
Essential Personnel:
When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel
