Operations Documentation Specialist

As an Operations Documentation Specialist, you will support the Workforce Solutions Operations group. This is a dynamic team that supports the Work Opportunity Tax Credit (WOTC) product line that helps enable our customers to live their financial best. You will play a key role on the team by harvesting the data they need to efficiently get their jobs done. Your primary responsibility will be to obtain supporting documentation, enabling the team to operate efficiently. This role offers a unique and engaging experience, as well as the different approaches of the states we collaborate with. This constant exposure will provide continuous learning opportunities, allowing you to develop expertise in partner processes and contribute to the improvement of our Operations team's support model.

What you’ll do

  • Generate various specialized reports, setting appropriate search parameters and column visibility.

  • Conduct thorough employee record reviews, examining questionnaires, denial reasons, and requested documentation.

  • Acquire military documentation for veterans, utilizing online systems and official request channels.

  • Obtain disability documentation for eligible individuals, coordinating with support teams and relevant agencies.

  • Acquire proof of age and address documentation for specific target groups, leveraging online resources and state-specific processes.

  • Specialists are required to utilize all available resources to obtain necessary documents, trying alternative retrieval methods if initial attempts fail, until all options are exhausted.

  • Process and submit all required documentation, updating system statuses, uploading files, and adhering to submission guidelines.

  • Establish, monitor, and report on operation/production issues, business improvement opportunities, and operational achievements

  • Understand and transition between data entry and verification tasks using standard verification processes

  • Demonstrate proficiency in adopting new tasks, workflows, or products

  • Perform document review and audit. Set up related data for new clients

  • Utilize experience and expertise to provide insights to operations leadership

  • Operate a diverse range of tasks, moving between processes with the guidance of management


What experience you need:

  • Bachelor’s degree or you have an equivalent combination of education and related professional experience

  • Minimum of 1 - 2 years of office experience

  • Proficient in data entry and have relatable software experience

  • Preferred at least one year experience in a high volume processing center

  • Preferred customer service experience
