OneStream underpins Group financial reporting within Prudential. It facilitates the financial results across multiple different accounting bases, with 800 users located in 20 countries across Asia, Africa and UK.
The Operational Support team is responsible for the management of service requests and all other operational responsibilities that do not require changes to the solution.

Key Responsibilities
 

All aspects of OneStream operational support, including:

  • Handle all operational support tickets raised by users in respect of the OneStream solution.
  • Maintain appropriate operational processes & controls and the associated documentation required for SOX.
  • Participate in the annual SOX audit of operational processes & controls, including delivery of process walkthroughs and provision of documentary evidence to auditors.
  • Maintain user guides / documentation and provide guidance to users regarding operational queries. Deliver user training.
  • User access, including maintenance of supporting documentation (such as user request template, security matrix, approvers list and role mappings) in addition to configuration of the access itself.
  • Undertake a six-monthly user recertification, encompassing a detailed analysis of access to the application and to the network shares used by the data integration processes.
  • Operate the monthly process to identify leavers & movers and amend their OneStream access accordingly.
  • Monitor user numbers and ensure this does not exceed the available licenses. Regularly review user access logs and clean-up inactive users.
  • Prepare the monthly SOX audit reports and review those covering changes to user access.
  • Liaise with the Information Security team regarding monitoring of activities undertaken on the database and perform a review of the weekly reports.
  • Service level management, including maintaining a close relationship with key Finance stakeholders.
  • Manage the process for loading, reviewing and locking the monthly exchange rates.
  • Assist users with process flow activities, such as promoting / certifying workflows.
  • Identify opportunities to enhance the user experience and improve the efficiency of their reporting processes.
  • Support the data integration processes, including management of the folder polling, monitoring the status of data loads, maintenance of the automated email functionality and investigation of any issues.
  • Monitor the performance of the OneStream servers, investigating any alerts and escalating any issues regarding server resources (such as memory, CPU, disk space).
  • Assist with the management of incidents, including assessing the impact on Finance processes and handling communications to stakeholders / users.
  • Disaster recovery planning and testing.
  • Review / approve server patching & upgrades, liaise with all stakeholders (IT and Finance) and undertake associated application testing.
  • Liaise with the Development team regarding release management and co-ordinate with end-users in respect of UAT.

Core Competences Required
 

  • Minimum of two years’ experience of consolidation systems – either in a support role or as a power user. Ideally, this would be within OneStream, though experience in HFM would also be considered.
  • An understanding of business rules, metadata, security configuration, cube views, dashboards and workflows.
  • Knowledge of VBA or vb.net an advantage.
  • Experience of operating in a tightly controlled environment - working closely with audit (both internal and external) and ideally with a good understanding of SOX requirements.
  • Understanding and practical experience of finance processes and terminology, to enable appropriate discussions with Finance users.
  • Ability to build strong relationships across the business, especially with key stakeholders in Finance and with other teams in IT, Information Security and Audit.
  • Pro-active and self-sufficient, taking full ownership for work and demonstrating the ability to co-ordinate activities, make judgements and take decisions.
  • Methodical and well organized, with a close attention to detail and high degree of accuracy.
  • Team player who willingly offers help to colleagues.
  • Clear written and verbal communication.
