Action Property Management, the leader in community management, is seeking a full-time Manager Assistant to join our team at One Rincon Hill, a luxury high-rise community in San Francisco.

Job Description
The Manager Assistant plays a key role in supporting the General Manager with the day-to-day operations of the association and serves as a primary point of contact for residents, guests, and vendors. This is a highly visible, people-centered role that calls for someone who enjoys building relationships, takes pride in providing thoughtful and attentive service, and brings a calm, professional presence to every interaction. The right person will create a welcoming atmosphere for residents while helping ensure the community runs smoothly and efficiently. Being a strong team player is essential, as this role supports not only management but the entire onsite team. Flexibility and a willingness to assist with a variety of tasks help keep the community thriving. This position also plays an important role in coordinating and supporting community events, helping to bring residents together and foster a vibrant, connected neighborhood.

Schedule:
Monday through Friday, 9:00 a.m. to 5:00 p.m.
Second Monday of each month: Board Meetings from 6:30 p.m. to 7:30 p.m.
Occasional evening events, usually between 6:00 p.m. and 8:00 p.m.

Compensation:
$32.00 - $33.00

Key Responsibilities
-Provide outstanding resident service by addressing inquiries, coordinating move-ins, move-outs, and deliveries, and ensuring timely follow-up on all requests.
-Coordinate and assist with resident social events (approximately 25% of the role), including logistics, vendor coordination, proposals, and on-site event support — typically one event per month.
-Provide administrative support, including correspondence, scheduling, meeting preparation, and drafting/distributing agendas, notices, reports, and meeting minutes.
-Maintain vendor and association records, contracts, insurance documents, calendars, and community websites.
-Support Architectural Review Committee meetings and inspections.
-Assist management with supervising, scheduling, and training front desk staff; provide coverage when needed and support with package room operations.
-Submit, track, and close work orders; conduct periodic common area inspections to ensure quality and upkeep.
-Process accounts receivable, verify invoices, and prepare monthly delinquency and financial reports.
-Upload invoices, take and distribute meeting minutes, and attend monthly board meetings.
-Serve as Manager on Duty in the General Manager’s absence and perform other duties as assigned.
