Summary of Job Duties:

The Office Manager plays a key role in supporting the daily operations of the Department of Pediatrics. This position provides administrative leadership for the department’s individual sections, ensuring smooth and efficient workflows. Key responsibilities include supervising section staff, managing budgets and purchasing activities, and partnering with leadership on HR-related matters. The Office Manager will work closely with the Practice Director to support the department's strategic and operational goals. Qualifications:

  • Bachelor's degree plus three (3) years of administrative experience or 

  • High School diploma/GED plus seven (7) years of administrative experience required.


Additional Information:

Responsibilities:

  • Assists Section Chief, Practice Director, and Peds Finance with budget-related issues during the fiscal year and prepares for the next fiscal year.  
  • Maintains budgets regarding all items hitting the accounts, manages all blanket purchase orders, and follows up on any outstanding invoices or balances.  

  • Reviews, analyzes, and reconciles faculty discretionary accounts.

  • Review and reconcile monthly budget reports.  

  • Appropriately pay invoices and renewal of subscriptions or professional memberships.  

  • Direct purchases through various accounts.  

  • Order equipment and office supplies as approved by the Practice Director and Section Chief.  

  • Manage section assets and maintain up-to-date records.  

  • Organize office moves as necessary when new faculty are hired.

  • Support calendar management, travel, promotion and tenure submissions, annual certifications, licensing, hospital credentials, other recurring reports/certifications, and liaison for networking with other institutions and national organizations engaged by faculty.

  • Coordinate daily administrative activities, which include maintaining the chief’s calendar, faculty calendars, scheduling meetings and conference calls, assisting with faculty development reports, annual reports, credentialing, and FACFACTS.

  • Maintain up-to-date curriculum vitae and biosketches.

  • Coordinate all faculty recruits, including the creation of itineraries, assisting with travel and hotel accommodations, and reimbursement. Responsible for faculty and staff onboarding.

  • Work as liaison with UAMS, ACH, and ACRI administrative staff.  

  • Work as liaison with media services for research-related activities, special publications, interviews, and website/social media.

  • Cross-train and provide backup for the administrative staff.

  • Assist with special projects as assigned, attend monthly staff meetings, and training workshops. Maintain/draft agenda and presentation materials for monthly office meeting; schedule division office meetings. 

  • Attend meetings and training opportunities for professional growth and development.

  • Assist patients/families and professionals with questions and/or problem issues that arise.  

  • Maintain good working relationships with all individuals.  

  • Perform other duties as assigned.
