About the Role:
The Office Manager is responsible for ensuring that HARMAN’s Kvistgård site operates smoothly, looks professional, and provides an excellent experience for both employees and visitors. This role combines facility coordination, office administration, and service excellence to maintain a productive, welcoming, and high-standard workplace environment that reflects HARMAN’s brand and culture.
Reporting to Site Lead and Director of Customer Experience and Quality, EMEA, the Office Manager oversees the daily running of the Kvistgård office and facilities. The role ensures the site is well-presented, efficiently maintained, and fully functional for all departments.
The ideal candidate is service-minded, detail-oriented, and takes pride in maintaining a professional and pleasant environment for employees, customers, and business partners visiting the site.
The role requires the ability to navigate and execute a wide range of tasks—both planned and unexpected—with speed, structure, and good judgement. Strong communication skills are essential, as the Office Manager interacts with a broad range of stakeholders across all levels internally as well as external vendors, partners, and visitors.
What You Will Do:
Office & Facility Management
- Oversee the daily operation, appearance, and functionality of the office and site to ensure a professional and efficient environment.
- Manage vendors, office assets, and maintenance activities to ensure smooth operations and timely issue resolution.
- Help maintain and update the Office Handbook, ensuring procedures and standards remain current and clear.
Visitor & Employee Experience
- Act as the primary contact for visitors and contribute to a welcoming, service-minded atmosphere.
- Plan and coordinate employee birthdays, jubilees, and internal events, supporting a positive and engaging workplace culture.
Operational & Administrative Support
- Manage office-related budgets, contracts, and compliance with safety and facility standards.
- Support leadership meetings through agenda preparation, note-taking, and sharing of meeting minutes.
- Facilitate clear and consistent office-wide communication and announcements.
What You Need to Be Successful:
- At least 3 years of experience in office or facility coordination, preferably in a corporate or international environment.
- Proven ability to manage vendors, budgets, and service contracts.
- Excellent organizational and coordination skills — able to balance multiple priorities efficiently.
- Fluent in English, both written and verbal.
- Skilled with Microsoft Office and comfortable using digital workplace tools.
Bonus Point If You Have:
- Bachelor’s degree in Administration, Facilities Management, or equivalent professional experience.
- Experience managing facility appearance, visitor experience, and office presentation for corporate sites.
- Strong people skills with a warm, approachable, and professional attitude.
- Interest in creating an engaging and pleasant workplace for all employees.
- Project coordination experience (office upgrades, relocations, or renovations).
- Familiarity with sustainability and workplace efficiency initiatives.
- Experience supporting leadership communication and maintaining administrative documentation such as office handbooks or meeting summaries.
